Finance and Membership Administrator – Barnet United Synagogue
Permanent position with competitive salary. Working hours: 22 hours a week (Sunday 9am – 1pm; Monday – Thursday 11am–3.30pm). Location: Barnet. Sector: Accounting & Finance. Application deadline: 25th November 2025.
Job Purpose
- To primarily manage and maintain all aspects of Barnet Synagogue’s financial accounts and other financial records relating to the Synagogue.
- To provide proactive, efficient and professional administrative support to the Administrator and Lay Leaders and support in managing the affairs of the Synagogue whilst delivering a high level of customer service to the communities.
Scope of Responsibilities
- Assist with the efficient operations of Barnet United Synagogue and act as a point of contact for the community on a range of issues, primarily finance.
- Line manage the Caretaker.
Duties
- Assist the Administrator, Financial Representative and other Lay Leaders in the efficient running and organisation of the Synagogue, with emphasis on Financial Duties, its events and activities.
Financial Duties
- Record and pay monies into bank accounts.
- Maintain records of all payments and receipts in respect of Synagogue’s accounts, including those for donations, functions, and other education events.
- Produce ad hoc reports from the existing databases using Excel.
- Produce reports from management accounts/iPlicit.
- Complete and maintain general ledgers in accordance with United Synagogue policy.
- Regularly review and chase members’ fees payable and overdue debts.
- Monthly debtors’ reconciliation for FR review and approval.
- Submit invoices, ensuring input into the system for payment and for approval in accordance with United Synagogue policy.
- Set up, monitor, and reconcile direct debit payments, liaising with defaulters if necessary.
- Maintain petty cash records and receipts.
- Provide budgets as and when required by Honorary officers (HO’s) and Council members.
Line‑Managing Duties
- Line manage the Caretaker.
Membership Administration
- Maintain membership databases relating to the Synagogue and make all necessary entries.
- Ensure member information is complete and up to date.
- Ensure Disclosure and Barring checks (DBS) are updated and entered.
- Assist the Administrator if needed to ensure CRP (school entry procedures: Certificates of Religious Practice or similar schemes) records are updated and entered.
General Administration
- Assist the Administrator in various administrative tasks as and when required.
- Assist with mail shots and community emails as and when required.
- Take and make telephone calls to members.
- Assist with sending out the weekly newsletters when needed.
- Assist members in person or on the phone regarding procedures for Births, circumcision (Brit Mila), Bar/Bat Mitzvahs, Weddings, Deaths, and Yahrzeits (memorials).
- Deal with general correspondence and queries by telephone, email and in writing as instructed and required by the HO’s Council and Rabbi.
- Liaise with clients and caterers regarding the availability, viewing, and costs for hiring the Barnet hall; deal with hire details and ensure that hall is set up correctly and that cleaning staff and security are booked in advance.
- Assist/arrange bookings and enquiries for outside organisations.
- Ensure that the hall is correctly prepared for whatever function is being held.
- Co‑ordinate with the Administrator to assist in preparing forms and documents for elections at the Synagogue’s in accordance with the relevant Byelaws and distribute to members as appropriate.
- Ensure that building complies with Health and Safety Standards and deal with any emergencies in the Synagogue when necessary.
- Carry out any other reasonable duties as requested by the Chief Executive or other designated senior staff.
Health & Safety
- Ensure that the building complies with Health and Safety Standards.
- Deal/assist with any emergencies in the Synagogue when necessary, contacting the emergency services if required and reporting incidents to US Head Office Health & Safety team.
Other Generic Duties

- Abilities: Able to work unsupervised, manage own workload and deliver results under pressure and to tight deadlines; ability to carry out work with accuracy and attention to detail; manage and prioritise a wide range of financial and administrative tasks and duties; work with Facilities Management personnel; work in a professional manner and develop effective working relationships with colleagues and external customers at all times whilst being discreet, trustworthy, and capable of preserving confidentiality; be an effective and proactive member of the Synagogue’s team.
- Skills and Knowledge: Excellent interpersonal and written communication skills; demonstrable skills in time management and planning; strong computing skills and substantial experience of using Microsoft Word, Excel, Outlook, and intranet-based systems and databases; skill at delivering a consistently high‑quality customer focused service; strong aptitude for accounts and numbers; knowledge and experience of accounting and gift aid procedures; good knowledge of Jewish customs and practices; understanding of working in a committee environment and alongside volunteers.
