Job description
Role: Fie Preparation Support Clerk

Department: Criminal Justice Unit

Location: Snig Hill, Sheffield

Salary: £25,242 – £27,204 (pro rata)

Hours: 35.5

Contract Type: Permanent

In this role you will support the file preparation process of the digital case file to achieve the objectives of ensuring cases are progressed to CPS and through the court systems.

Key Responsibilities:
  • Interrogate, maintain, and retrieve data/information using various computer and manual recording packages, accurately contributing to monitoring activities for own and multi‑agency partnership purposes.
  • Court management: interrogation of LIBRA/Common Platform for other matters/similar offences and the use of 'hidden' courts - administratively dealing with court cases/adjournments.
  • Home Office Production Orders administration: receipt, processing, and notification of completed actions and provide advice and guidance to officers regarding file content and court process.
  • Interpreters’ administration: receipt, processing, and notification of completed actions.
  • Remand additions; liaison with OIC/custody/GeoAmey/Courts.
  • Liaison with HMCTS, CPS and external agencies and process Digital Cases (Charge and Bail, Postal Requisition) to court and CPS.
  • Monitor CJU central email.
  • Using the CONNECT computer system prepare a postal requisition for postal service to defendants to attend South Yorkshire Magistrates Court.
  • Review CONNECT task work trays including identifying Action Plans and Memos forwarding to relevant parties for action.
  • Review computer systems following first court hearings and progress digital case file depending on result.
  • Booking in and allocating CC upgrades, Magistrates Upgrades and Committal for Sentence.
  • Retrieving and disseminating PTPH results and overseeing Discontinuance process and finalisation of digital case files (Magistrates/Crown).
  • Receive, Process and Review Appeal/Warrant/Committal for Sentence cases and general admin duties including receipt and maintaining e‑mails.
  • Provide support and coaching to newly appointed File Preparation Support and assist Supervisors with "on the job" training to new court support officers during their induction period and any other duties commensurate with the grade of the post.
Skills and Experience:
  • Experience of using Microsoft packages.
  • Experience in data input and retrieval of information.
  • Experience of communication by a variety of means, including telephone and keyboard skills.
  • Flexibility to work overtime to meet organisational needs, and work at other locations within South Yorkshire if required.

Eligibility:

Applicants must meet the minimum requirement checkable history criteria, which must be taken into account for individuals applying to work with South Yorkshire Police in any capacity. A minimum checkable history of 3 years is required for this role and successfully undergoing recruitment vetting procedure is a pre‑requisite of employment with South Yorkshire Police.
