Overview

We're looking for an experienced Facility Coordinator to join our Estates team at The Portland Hospital. As an Estates Coordinator, you will play a pivotal role in supporting the Estates management team in the strategic and operational management of the facility. You will coordinate complex maintenance schedules, manage contractor relationships, and ensure compliance with health and safety standards. This role requires a proactive approach to facilities management, with a focus on continuous improvement and stakeholder engagement. You will provide assistance where and to co-ordinate, drive and lead any on-going and new projects and work-streams within the department acting as liaison across departments in the business where Above all else, we're committed to the care and improvement of human life. Responsibilities
  • Lead on the coordination of planned and reactive maintenance activities across the estate.
  • Oversee the Estates helpdesk, ensuring service requests are prioritised and resolved efficiently.
  • Monitor the Facilities Logs and elevate outstanding tasks to the relevant department manager on a weekly basis.
  • Act as the primary liaison for internal departments and external contractors, ensuring timely and compliant delivery of services.
  • Monitor the facilities mailbox and delegate tasks appropriately.
  • Develop and maintain robust administrative systems, including asset registers, compliance documentation and contractor records for all statutory compliance pertaining to the department.
  • Support the Estates Manager & Facilities Management in project planning, reporting and budget tracking.
  • Manage the full lifecycle of purchase orders from requisition to reconciliation, ensuring alignment with procurement policies.
  • Work closely with account managers in dealing with any complaints relating to clinical and non-clinical service projects, assisting with developing client relationships.
  • Assist with corporate clients on site pandemic testing and reconciliation of reports/data as requested by management.
  • Assist with data management of project related statistics and provide required reports to the Operational Services Manager and the Deputy Operational Services Manager.
  • Regular travel between sites as and when necessary.
  • Previous Estates Coordination experience within a private hospital setting is essential.
  • Experience with Microsoft Office and Outlook.
  • Understanding of spreadsheets and finance is essential.
  • Excellent communication skills.
