Location: Uxbridge, UB11 1FE

First point of contact for Production Management and crew supporting services regarding site-related matters, maintenance, and facility needs.

Key Responsibilities
General admin:
  • Manage and maintain the calendar for studio operations and production schedules.
  • Track and maintain daily staff occupancy numbers on site.
  • Ensure all studios and associated spaces (green rooms, makeup rooms, dressing rooms, tech rooms, shared workspaces) are clean, functional, and production ready.
  • Coordinate and monitor PPM with vendor and manage reactive works to ensure minimal disruption.
  • Ensure the proper operation and servicing of all critical building systems including HVAC, power, lighting, and plumbing.
  • Responding to urgent maintenance requests and emergencies.
  • Maintain high standards across all site services, including cleaning, security, and catering.
  • Log maintenance and facilities-related issues via the Vendor Helpdesk and follow up to resolution.
  • Track job logs to ensure completion.
  • Oversee regular pest control and plant maintenance services.
  • Communicate upcoming maintenance, disruptions, or events to relevant teams via internal channels.
  • Support internal office changes, including layout adjustments and signage updates.
  • Maintain accurate documentation of building assets, inspections, and supplier performance.
  • Oversee and restock the stationery cupboard.
  • Manage the Ojmar locker system, including programming fobs and assigning access.
  • Coordinate access passes with Security Admin for both the Studios and the building.
  • Ensure contractors and staff have proper floor access when required.
H&S Support:
  • Ensure full compliance with health & safety legislation and on-site protocols.
  • Keep all statutory documentation up to date (e.g. fire logbook, accident reports, inspection records).
  • Deliver H&S inductions for new staff and contractors.
  • Oversee RAMS submissions and confirm contractor compliance.
  • Notify the H&S Advisor of external contractor works and ensure the correct Permit to Work (including Hot Works) is issued.
  • Act as an Incident Controller and/or First Aider.
  • Regularly inspect and restock First Aid kits.
  • Check fire extinguishers are in place and in date.
  • Keep the H&S notice board current, including evacuation plans, fire wardens, and first aiders list. Display the Employer’s Liability Insurance certificate in accordance with legal requirements.
  • Manage the COSHH cupboard—ensuring it is clearly labelled, locked, and up to date with SDS, with input from the technical production crew.
Parking Management
  • Oversee on-site parking and ensure staff park in designated bays.
  • Add frequent users in the ANPR system and allocate parking for visitors, talent, and contractors.
  • Coordinate OB truck and delivery vehicle access.
  • Monitor EV bays usage and queue management when needed.
  • Liaise with production and security to facilitate parking during high-demand periods and events.
Catering Support
  • Place callouts for coffee machine issues and follow up to resolution.
  • Order tea, coffee, and general beverage stock for tea points.
  • Ensure milk and dairy‑free alternatives is in stock and within expiry dates across all fridges.
  • Liaise with Foodles to manage Smart Fridge services, ensuring they meet production needs, flag and elevate technical or stock issues to the support team.
  • Work with the team on vending machine stock management, refill machine if necessary.
