The Role
The Facilities Officer is responsible for delivering effective facilities management services for the campus, ensuring compliance with legislative requirements, and maintaining the building’s structure and assets.
What the role involves
Building Maintenance and Safety
- Conduct routine inspections of premises and equipment to ensure buildings and assets are safe, secure, and meet standards.
- Perform health and safety checks to ensure compliance and address any issues promptly.
- Ensure all equipment at the site is operational and compliant with PAT.
- Conduct basic handyperson services including furniture assembly, painting, and minor repairs like lock replacements, whiteboard installations, etc.
Security and Access Control
- Monitor access control systems and respond to security incidents or faults.
- Act as a first line response to activations and incidents, including emergency situations.
- Support security staff operations and ensure security protocols are followed.
- Issue and maintain records for keys and access cards.
Staff Onboarding and Offboarding
- Assist the onboarding process for new staff, ensuring desk allocation and provision of required resources.
- Manage the offboarding process for departing staff, including the return of items and updating records.
Event Coordination and Facilities Management
- Coordinate campus events, including setup and logistical arrangements.
- Manage stock levels for office equipment, furniture, and store room consumables, and replenish as required. Maintain FIFO and safety standards.
- Handle furniture moving, assembling, and other manual tasks.
- Monitor and maintain the cleanliness and orderliness of campus facilities.
Front of House and Customer Service
- Act as point of contact for students, visitors, and staff, providing a professional and welcoming service.
- Act as a first aider and fire warden, ensuring readiness for emergency situations.
- Handle heavy loads safely (manual handling training provided) and support the operations of security staff.
Administrative Duties
- Keep the asset register and staff allocation documents up to date.
- Liaise with security personnel to ensure all deliveries are collected, inventoried, and securely stored.
- Complete all planned preventative maintenance checks and keep records for statutory compliance and performance monitoring.
- Resolve ticket reports and promptly update system.
Experience and Skills required
- Ability to interact in a highly professional manner with employees, contractors, consultants, visitors, management, as well as local police and fire authorities.
- Ability to take initiative and lead by example, empowering and motivating staff to foster an excellent working culture.
- Excellent communication skills.
- Proficiency in performing building security checks and lock procedures.
- Exceptional observational awareness.
- Ability to understand and adhere to specific instructions and procedures.
- Experience in undertaking handyperson services, including furniture assembly and other DIY tasks such as securely fixing items to walls and painting.
- Capability to lift heavy loads safely (manual handling training will be provided).
- Availability to work varied shift patterns, including evenings and weekends.
- Good knowledge of IT skills.
