Facilities Assistant - Part Time

Start Date: Monday, 24th November 2025
Contract: 3 months
Hours: 9:30am - 2:30pm, Monday to Friday
Location: Fully office-based

Are you a practical, organised individual who enjoys keeping things running smoothly behind the scenes? We’re looking for a friendly and reliable Facilities Assistant to join our team for a three‑month temporary position, supporting the day-to-day operations of our office and ensuring a safe, well‑organised working environment.

Key Responsibilities
  • Reception Support
    • Provide cover at reception when volunteers are unavailable.
    • Coordinate the volunteer rota and assist with volunteer training.
  • Vehicle Fleet Administration
    • Manage vehicle bookings, mileage logs, MOTs, services, and insurance records.
    • Organise regular cleaning and safety checks.
  • Health & Safety
    • Assist with monitoring and reporting activities.
    • Maintain risk assessment records and ensure first aid kits are regularly replenished.
  • Stock & Supplies
    • Process purchase requisitions and orders.
    • Monitor and replenish stationery, uniforms, and merchandise supplies.
  • General Administration
    • Organise merchandise dispatches and event equipment sign‑out.
    • Prepare meeting rooms for VIP visits and arrange refreshments.
    • Handle incoming and outgoing post, including franking and collections.
  • Other Duties
    • Provide ad hoc support to ensure smooth day-to‑day operations.
    • Occasionally lift and move boxes or stock (handling aids provided for larger items).
About You
  • You’ll bring excellent organisational skills, attention to detail, and a proactive approach to problem‑solving.
  • You’ll be comfortable managing multiple priorities, working independently, and supporting colleagues across a range of tasks.
  • Experience in facilities or administrative support would be an advantage.
