Job Overview

The main function of this Executive Assistant role is to support three VPs in Visa Commercial Solutions, with administrative duties including handling prioritization, managing the calendar, arranging travel, conducting desk research, supporting the organization of team activities and other administrative and project tasks.

Responsibilities
  • Diary Management – establishing and maintaining a sustainable daily, weekly and monthly rhythm; proactively managing diary clashes; maintaining a forward view of the diary; ensuring the overall week supports the agreed rhythm; ensuring regular meetings are scheduled and rescheduled for direct reports and stakeholders.
  • Administration – acting as a liaison and facilitator and first point of contact; liaising with internal and external stakeholders to arrange meetings, hold dates for events and coordinate business-as-usual activities; actively contributing to fostering team culture and community by organizing and participating in various team‑building activities and events.
  • Email Management – prioritizing emails/requests and filtering/escalating information as appropriate and email distribution lists.
  • Travel & Expenses – analysing and approving expenses on behalf of the VPs; managing complex travel itineraries for the VPs.
  • Hybrid work: expected to be in Visa’s Paddington office Tuesday to Thursday.
