In this role, the Executive Assistant will be responsible for comprehensive support to the Chief Technology and AI Office (CTO) in Europe. The work environment is fast-paced and challenging. This is a position of trust, requiring the ability to handle a wide variety of activities and confidential matters with discretion.
- Provide critical support to the CTO
- Manage CTO's calendar and travel plans
- Serve as a gatekeeper for meeting requests
- Coordinate senior management team meetings and external events
- Handle administrative and logistical tasks for CTO
- Ensure smooth communication between CTO's office and other departments
- Coordinate IT support and security for CTO
- Demonstrate excellent organizational and communication skills

How You Will Contribute And What You Will Learn
- Manage calendars, prioritize meetings, and coordinate schedules across European time zones.
- Organize meetings, prepare agendas, and ensure follow-ups are handled.
- Arrange complex travel itineraries including flight booking, hotels and working with 3rd party vendors for support for country documents requirement.
- Managing expense claims in the internal system (Concur)
- Handle sensitive communications with discretion.
- Supporting leadership with reports, presentations, and organizational documents.
- Coordinate logistics for internal and external events.
- Improve processes (like meeting agenda and follow up actions, travel and holidays plan) and enhance efficiency where possible.
- Work with internal communication and social media, preparing draft communication and helping to manage social media account (mainly LinkedIn)
- Collaborate with the executive assistant community fostering collaboration mindset.
