A leading merchant investment firm is seeking an experienced Executive Assistant to join its London office. This role provides comprehensive support to a Senior Management Team member and their wider organisation. The position requires a highly adaptable and proactive administrative professional who can also assist multiple business units, ensuring seamless coordination and efficient operations across the firm. The ideal candidate will thrive in a fast‑paced, dynamic environment, demonstrate exceptional organisational and communication skills, and maintain a high level of professionalism and discretion at all times.
Key Responsibilities
- Provide high-level administrative support to a Senior Management Team member and their team.
- Manage complex and demanding calendars, including scheduling internal and external meetings and conference calls across multiple time zones.
- Coordinate extensive domestic and international travel arrangements, including itinerary management, expense tracking, and invoicing.
- Prepare, edit, and format correspondence, presentations, reports, and other documentation.
- Prepare and distribute meeting agendas and materials, including PowerPoint presentations.
- Process and submit weekly expense reports via Concur and handle paper submissions as required.
- Manage invoice processing and tracking.
- Handle incoming calls and welcome visitors at the London office reception.
- Maintain confidentiality and handle sensitive information with the utmost discretion.
- Collaborate effectively with colleagues across the firm’s global offices and administrative teams.
- Assist in planning and coordinating office events, meetings, and conferences, including logistics and catering arrangements.
Qualifications & Experience
- Minimum 5 years’ experience in an Executive Assistant or senior administrative support role within a fast-paced, professional environment.
- Experience in a smaller office setting and supporting multiple stakeholders is highly desirable.
- Exceptional organisational skills and meticulous attention to detail.
- Excellent written and verbal communication skills.
- Proven ability to prioritise and manage competing demands in a deadline-driven environment.
- Strong sense of professionalism, discretion, and integrity in handling confidential information.
- Demonstrated ability to build strong working relationships and collaborate effectively across all levels of the business.
- Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and SAP Concur.
