Executive Assistant - Profit and Asset Protection

Department: Group Profit & Asset Protection

Responsible to: Head of Group Profit & Asset Protection – Analytics & Reporting

Location: Kingsway Distribution Centre

Role Overview:
Provide support to the Profit & Asset Protection Senior leadership team and the wider Profit & Asset Protection department in their day-to-day roles, ensuring that all travel and meeting arrangements are in place in addition to attending meetings, minute taking, and following up actions and ensuring filing systems are up to date and maintained.

Responsibilities include, but are not limited to:

  1. Provide travel support for the Director, SLT and wider teams, book global travel and accommodation as required, balancing colleague welfare, business cost and risk management.
  2. Responding to e-mails; drafting letters and documents; collecting and analysing information; setting up various meetings and conference calls.
  3. Maintain and manage diaries by planning and scheduling meetings, meeting rooms, conference calls and making appropriate arrangements for travel and hospitality.
  4. Track and ensure expenses are submitted on behalf of the group.
  5. Attend meetings as required, taking minutes, distributing actions, and following up on actions with relevant parties, ensuring deadlines are met.
  6. Support HR and payroll with managing absence and holiday reports to ensure data is efficiently logged.
  7. Supporting and completing other EA duties as required.
  8. Managing the departments invoices, delegating to the correct team members for payment approval raising purchase orders on the P2P system Coupa.
  9. Organising & managing department conferences and events.
  10. To complete any ad-hoc tasks within your current levels of responsibility as directed by the department Manager and senior team.
  11. To produce insurance documentation when required following Company loss.
  12. To carry out any ad-hoc requests and/or complete any other tasks as may be requested from time to time by the Profit Protection Management in line with current levels of responsibility.
  13. To maintain the ticket request system and assist with any ad-hoc queries in there.
  14. To operate total confidentiality with all information gained in respect of the company, its business or personal.
  15. To ensure all confidential and other paperwork is properly secure and filed away as necessary.
  16. To ensure the filing of supplier contracts ensuring they are kept up to date.
  17. To manage UK & EU cash collections contracts, approving invoices for payment.
  18. Manage stock removals for the Social Marketing, Product Development and Customer Care teams, ensuring processes are followed and stock adjustments are completed.
  19. Reporting on hospitality and sharing with departments EAs.

QUALIFICATIONS & EXPERIENCE:

  1. Strong, effective written and spoken communication skills along with excellent research and organizational skills.
  2. Evidence of and a commitment to practice a high level of confidentiality.
  3. Strong experience in planning, organizing, and carrying out the daily activities and administrative functions in a sensitive, highly visible, and dynamic and organizational environment, requiring management of multiple and rapidly changing priorities.
  4. Strong office administrative and management practices and procedures.
  5. Must be proficient in Microsoft Office with the ability to learn new software and computer systems as well as use of PowerPoint, spreadsheet, graphics, and other business management software. Must be flexible and be able to work in a high change, quick-paced environment.
  6. Must be a team player and be willing to receive and act on direction and motivated to take on responsibility to completion.
  7. Make a wide variety of logistical arrangements independently or from brief instructions.
  8. Establish and maintain highly effective working relationships with senior management. Use a high degree of tact, discretion, and diplomacy in dealing with confidential and sensitive matters.
