We seek a high-caliber Executive Assistant to support our Executive team, providing comprehensive assistance to the Directors of RLH and ME Senior Hospital Leadership Team. The ideal candidate will be an enthusiastic self-starter with excellent Executive Administrator skills, capable of managing a busy workload. Experience in agenda management, circulation of Committee packs, and minute-taking at meetings is essential. Strong communication, interpersonal skills, and the ability to work independently are required, along with being a team player.

Key qualities include diplomacy, discretion, and excellent IT skills. Responsibilities include diary and email management, organizing meetings, handling telephone inquiries, drafting agendas, circulating papers, minute-taking, and administrative tasks. Previous experience in a senior PA/EA role within a large organization is preferred.

Main duties of the job

The Executive Assistant to The Royal London and Mile End Hospitals Directors plays a vital role in managing the department professionally. The candidate must be a self-starter capable of working independently.

Main functions include:

  1. Managing the effective operation of the Royal London Hospital Executive Directors’ offices.
  2. Handling directors’ emails, prioritizing, actioning, delegating, and responding professionally and promptly.
  3. Tracking outstanding actions with deadlines for the director.
  4. Providing high-level diary, administrative, and secretarial support.
  5. Drafting meeting agendas, distributing papers, and taking minutes/actions.
  6. Building and maintaining relationships with partner organizations and external stakeholders.
  7. Dealing professionally with internal and external stakeholders, patients, and visitors.
  8. Using diplomacy and problem-solving skills to resolve issues escalated to the executive level.

The role involves access to sensitive information, requiring confidentiality at all times.
