To do that, we need our senior team to stay focused on the work that matters most. As Executive Assistant, you will help them use their time well and stay ready for the conversations and decisions that move our mission forward.

Job Description

As Executive Assistant, you will be a central coordination point for our CEO, COO, CTO and wider leadership team. You will help them manage busy schedules and prepare for important meetings. You will act as a trusted gatekeeper, managing communications and confidential information with care. You will also take clear minutes at our board meetings, so that decisions and actions are accurately recorded and followed through. It is a visible role where your judgement and people skills will support how we grow and how we work with partners who care about patients as much as we do.

You will build close working relationships with the Executive Team. You will learn what matters most to them and protect time for those priorities. You will anticipate what they need next and resolve scheduling, logistical or operational issues before they affect progress. Complex diaries, travel plans and meeting schedules will pass through you, and you will turn them into clear arrangements that feel considered and calm.

You will also help to plan and coordinate key meetings and events. You will organise leadership catch ups and board discussions, support investor relationships and arrange visits to our facilities. You will also coordinate interactions with advisors, consultants and other external partners. At board meetings you will prepare papers, record accurate minutes and track agreed actions. You will support strategic and operational initiatives led by the Executive Team and wider leadership, providing the organisation and follow through that keeps work moving. You will be a steady point of contact for clients and partners, and a trusted link between executives and teams across the company. Alongside that, you will support a small administrative team and keep important operational details moving, from financial tasks to quality and office logistics. You will assist with governance documentation and other compliance related administrative tasks.

In practice, you’ll:

  • Act as a trusted partner to the CEO, COO, CTO and wider leadership team, looking after their calendars and travel so they can focus on the work with most impact and acting as a trusted gatekeeper for their communications and confidential information
  • Coordinate and prepare leadership, and board meetings, making sure people have the information they need and that decisions and actions are clearly captured in the minutes
  • Be a polished point of contact for clients and partners, coordinating visits and meetings so every interaction feels organised and welcoming and managing communications and scheduling with external organisations in a way that maintains strong relationships and a positive presence for Cellular Origins
  • Provide coordination and scheduling support for the wider leadership team, setting up regular touchpoints and cross functional sessions that keep teams aligned
  • Track actions and deadlines across leadership and board initiatives, following up so that progress is visible and commitments are met
  • Lead and support two Administrative Assistants, setting direction and sharing context so they can plan their work, allocating and prioritising workloads and helping to establish straightforward best practices, standards and processes across the administrative function
  • Look after operational details such as hospitality, travel and office resources across sites, and act as a point of contact for suppliers, including acting as a go between on administrative requirements for our Manufacturing Centre and working with external suppliers and partners
  • Support processes behind the scenes, including purchase orders, invoices, expenses, credit card reconciliations and administrative support for our Quality Management System
  • Offer flexible support to colleagues in areas such as marketing, recruitment and presentation preparation, using your organisational skills where they help most.

  • Proven experience in an Executive Assistant, Office Manager or senior administrative role within a fast-paced professional environment
  • Confidence working closely with senior leaders, with the judgement to handle confidential and commercially sensitive information
  • The ability to manage a broad range of responsibilities, moving comfortably between strategic support and hands on tasks
  • A collaborative, relationship focused approach, with skill in working effectively with colleagues, customers, suppliers and partners
  • Excellent attention to detail with high standards of written and verbal communication
  • Strong digital skills, fully conversant with tools such as MS Office, Outlook, SharePoint and Teams
  • A proactive, solutions focused mindset, always looking for ways to simplify processes and reduce friction for the people you support
