ROLE OVERVIEW

The Executive Assistant will provide exceptional support to the EMEA CEO and CMO, helping to keep the leadership team organised, connected and effective. The role will involve managing complex diaries, travel and communications, supporting key executive meetings, and ensuring actions and follow‑ups are well coordinated.

Alongside day‑to‑day executive support, you will also support the planning and delivery of selected agency programmes, meetings and events, working with colleagues across the business to ensure they are well organized and run smoothly.

The role requires someone who is highly organised, proactive and detail‑oriented, with excellent communication skills and the confidence to build strong relationships with senior stakeholders across the business. You will be comfortable managing competing priorities, using good judgement and taking ownership of tasks to ensure everything runs smoothly.

RESPONSIBILITIES
  • Diary & Calendar Management: Own complex, proactive diary management for senior executives, coordinating internal and external meetings across multiple time zones and anticipating potential conflicts before they arise.

  • Travel Coordination: Arrange and manage international travel, including flights, accommodation, visas and transport logistics, ensuring seamless end‑to‑end itineraries.

  • Inbox & Communication Management: Provide occasional inbox support, prioritising urgent matters and helping executives stay focused on the most important issues.

  • Agency Initiatives: Support the planning and delivery of selected agency initiatives, such as all‑agency meetings, Crouded House and the Build Better Board. This will include coordinating logistics, working with stakeholders and supporting the preparation of presentations and materials.

  • Expense Management: Manage the submission, reconciliation and administration of executive expenses and corporate credit card transactions.

  • Meeting Support: Coordinate the preparation and delivery of monthly Channel and Forecasting meetings, including executive presentations, cross‑functional inputs, meeting materials, minutes and follow‑up actions to ensure accountability.

  • ExCo Coordination: Coordinate key ExCo meetings, including agendas, materials, actions and follow‑ups, working with senior stakeholders across the business to ensure meetings run smoothly and actions are progressed.

  • Event Planning: Coordinate internal and external events, including leadership meetings, dinners, conferences, panels and other client‑facing activities.

  • Business Coordination: Work closely with colleagues across the business to coordinate meeting materials, information and follow‑up, ensuring communication is clear and everything is prepared in a timely manner.

  • Executive & Wider Business Support: Provide reliable administrative and organisational support to members of the Executive team and wider business as required. The role will involve balancing competing priorities and requests, using good judgement and strong organisational skills to ensure timely and effective support.

PERSON SPECIFICATION
  • Proven experience supporting multiple senior leaders in a fast‑paced, high‑pressure environment, ideally within an advertising, media, marketing or professional services organisation.

  • Exceptional organisational skills, with the ability to proactively plan, prioritise and manage multiple competing demands.

  • Strong judgement and problem‑solving skills, with the confidence to anticipate issues and find practical solutions independently.

  • Excellent attention to detail, with the ability to maintain a consistently high standard of work under pressure.

  • Outstanding written and verbal communication skills, with the confidence and credibility to build strong relationships with senior executives and stakeholders.

  • Strong analytical and project management skills, with the ability to take ownership of initiatives from planning through to delivery.

  • A proactive, solutions‑focused approach and the ability to work with a high degree of autonomy.

  • Demonstrated discretion and professionalism when handling confidential and sensitive information.

  • The ability to build trusted relationships quickly and operate effectively across a complex, matrixed organisation.

  • A genuine interest in Croud's business, culture and ambition, with the energy and curiosity to contribute beyond the traditional boundaries of an EA role.
