Job description

Castleton Commodities International, a leading Merchant Commodity Trading and Investment firm is hiring an Executive Assistant for our London office. We are seeking an experienced Executive Assistant to join our team and support a Senior Management Team member and their respective organisation. The position also requires a flexible administrative professional who can assist multiple business units within CCI, ensuring smooth coordination and efficient operations throughout the organisation, as well as collaborating across the admin function. The ideal candidate thrives in a fast‑paced environment, is highly organised, professional, proactive, collaborative, and an effective problem solver.

Responsibilities
  • Heavy calendar/phone management; internal/external meetings and conference calls (between multiple time zones)
  • Manage high volumes of international and domestic travel including expense tracking, invoicing, and related documentation
  • Prepare and edit correspondence, presentations, reports, and other documents
  • Prepare and distribute agendas (including updating PowerPoint presentations) and other materials for meetings
  • Prepare and submit weekly expense reports through Concur and handle paper submissions as needed for the SMT member and their organisation
  • Assist with the management and processing of invoices
  • Handle incoming calls and welcome CCI visitors at reception
  • Handle confidential information with discretion and professionalism
  • Effective collaboration with other areas of the firm
  • Coordinate office events, meetings, and conferences, including logistics and catering arrangements
Qualifications
  • Minimum of 5 years of prior experience in an Executive Administrative role in a fast‑paced environment; ideal candidates have had experience working in a smaller office environment performing a hands‑on role with multiple stakeholders
  • Exceptional organisational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to prioritise tasks and manage changing priorities in a deadline‑driven environment
  • Demonstrated ability to collaborate effectively with all levels of employees
  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and SAP Concur
