Executive Assistant Job Specification

The Executive Assistant (EA) plays a pivotal role in supporting senior leadership, particularly the Executive Vice President of Product & Commercial, Real Time Payments, and 2 Senior Vice Presidents of Product Management, Real Time Payments. This role demands a high level of discretion, strategic coordination, and operational agility. The EA is a trusted partner in managing executive priorities, facilitating cross-functional collaboration, and driving administrative excellence across the organisation.

Key Responsibilities
  • Executive Support & Coordination: Provide direct support to senior executives, including calendar management and scheduling meetings across time zones.
  • Make travel arrangements, both domestic and international, for senior staff including booking flights, cars and hotels. Processes visa applications when necessary.
  • Manages expense reporting in-line with company Travel and Entertainment policy. Manage department purchases and card reconciliation, ensuring purchases are made in alignment with budget and in compliance with related finance policies.
  • Plans and coordinates events, on or off site, with both internal and external participants. Coordinates with guest speakers, catering, venue booking and other event specific needs.
  • Supports the onboarding of new team members, partnering with P&C throughout the process.
  • Creates and edits presentations, and other communications.
  • Manages and communicates corporate applications and compliance programs, such as, Access Management, Vivo, Concur, Oracle and other internal applications.
  • Liaises with internal and external stakeholders to ensure seamless communication and logistics for meetings, events, and strategic engagements. Serve as administrative liaison with others within and outside the company.
  • Manages ad hoc administrative programs for the department and utilizes spreadsheets or databases to monitor departmental information and generate reports.
  • Researches complex issues on behalf of the executive as required.
  • Administrative Excellence & Governance: Maintain compliance with Mastercard’s operating model, policies, and procedures as outlined in the Executive Assistant Playbook.
  • Utilise tools such as Coupa, TE360, and Remedy for supplier management, reporting line access, and technical support.
  • Engage with the Global Administrative Network and participate in learning academies and resource groups.
  • Communication & Documentation: Draft and manage high-level communications, including job specs, internal memos, and strategic updates.
  • Ensure accurate documentation and alignment of job titles and profiles in Workday, liaising with People Services as needed.
All About You
  • Strong computer skills, including the ability to manage and understand numerous internal software systems. Strong proficiency in Microsoft 365, Workday and Concur, or similar HR, expense management and travel planning tools.
  • Solid Administrative experience in a corporate environment interfacing with senior and executive level management and customers, minimum 3 years.
  • Strong interpersonal skills, a reputation for being thorough, and an ability to foster and maintain collaborative working relationships with team members and colleagues.
  • Keen sense of urgency with a results-driven orientation and a strong ability to pivot and execute tasks quickly.
  • Ability to prioritize and discern what is truly important, using a high level of discretion.
  • Accuracy and attention to detail with the ability to multi-task and handle sensitive information confidentially.
  • Ability to function well in a busy and varied environment and work well under pressure.
  • Excellent written and verbal communication skills.
  • Other information: This role requires a minimum of 3 days in our London office, 2 days working from home.
