Job Description:

Location: London Paddington (hybrid 60% on-site)
Division: Global Product & Portfolio Strategy
Reports to: Vice President Global Head, Value & Access

About the Role

As an Executive Assistant supporting a member of the Executive Leadership Team, you will deliver high-quality, comprehensive, and timely administrative support. Acting as a trusted partner, you will manage all logistical and coordination activities, ensuring seamless communication and a professional interface on behalf of the EVP.

Key Responsibilities

  • Diary Management: Organize and maintain the executive’s calendar, ensuring efficient scheduling and conflict‑free planning.
  • Travel & Expenses: Coordinate complex international travel arrangements and manage expense reporting.
  • Meeting Coordination: Prepare agendas, take minutes, and follow up on actions for internal and external meetings.
  • Budget & Contract Management: Raise and track purchase orders and contracts, ensuring compliance and timely processing.
  • Event Planning: Organize offsite meetings, team‑building activities, and corporate events.
  • Communication: Serve as liaison between the executive and stakeholders, ensuring clarity and professionalism.
  • Team Support: Collaborate with other assistants and support teams to maintain smooth operations.
  • Document Management: Maintain accurate records and ensure accessibility of key documents.

About You

  • Experience:
    • Extensive Executive Assistant experience supporting senior leadership (SVP level or higher).
    • Pharmaceutical industry experience preferred but not essential.
    • Proven ability in project management and event planning.
  • Skills & Competencies:
    • High levels of intuition, proactivity, and confidentiality.
    • Strong organizational and prioritization skills with ability to manage multiple tasks under pressure.
    • Excellent communication skills and confidence to represent the EVP professionally.
    • Proficiency in Microsoft Office and virtual meeting tools (e.g., Microsoft Teams).
    • Financial and budget management knowledge.
