We’re looking for an experienced and highly organized Executive Assistant to join our Western Europe team, based in our modern London Chiswick offices.

This role is perfect for someone who thrives in a fast-paced, dynamic environment — balancing multiple priorities, anticipating needs, and ensuring seamless support to our senior leadership team. You’ll play a pivotal role in keeping our operations running smoothly, managing complex schedules, high‑profile meetings, and key business events across multiple time zones.

Key Responsibilities
  • Proactively manage and maintain complex calendars for Western Europe Leadership Team members
  • Coordinate meetings, conferences, and events across internal and external stakeholders—often spanning multiple time zones
  • Arrange detailed international travel plans, including flights, accommodation, visas, and logistics, with flexibility to adapt to last-minute changes
  • Prepare high-quality communications, presentations, and reports
  • Manage expense claims, purchase orders, and invoice tracking via Coupa/SAP
  • Support departmental administration and act as the first point of contact for general enquiries
  • Coordinate large-scale events, including conferences, offsites, and executive visits
  • Maintain accurate internal distribution lists and records in compliance with company policy
  • Collaborate with other administrators to ensure seamless cover and team support across the Western Europe region
What We’re Looking For
  • Relevant experience as an Executive Assistant or Administrator supporting senior leaders
  • Proven ability to manage multiple tasks, prioritise effectively, and maintain strong attention to detail
  • Confident communicator, comfortable interacting with senior stakeholders at all levels
  • Strong budgetary and administrative acumen – experience with Coupa, SAP, or Concur is highly desirable
  • Excellent MS Office skills (Outlook, Word, PowerPoint, Excel)
  • Discretion, professionalism, and a proactive mindset are a must
  • Experience coordinating large events or complex business meetings
  • A degree-level education is preferred but not essential
