Job Description

As an Executive & Commercial Assistant you will be supporting the Managing Director of Eventor, the Event and Motor Sport brand, within Stobart. You will be a key player in supporting the Executive Leader as they embark on delivering an ambitious growth strategy, to position the Eventor brand as the leading supplier within the Events industry and ensure the smooth operation of daily activities. You will serve as the indispensable right hand, handling a wide range of administrative tasks and acting as a liaison between internal and external stakeholders. Your organisational skills, attention to detail, and proactive approach will be essential in enabling the Managing Director to focus on strategic initiatives and drive the company forward. This role does require extensive travel.

Key Duties
  • Full and complex diary management, arranging overseas travel and accommodation
  • Manage the Managing Director’s calendar, meetings, UK, European and international travel itineraries across multiple time zones
  • Prepare briefing materials, reports, and presentations for internal and external meetings.
  • Screen and manage correspondence, prioritizing urgent communications
  • Liaise with internal teams (operations, finance, client services, and logistics) to support strategic initiatives and ensure deadlines are met
  • Track key deliverables, project timelines, and follow-ups on behalf of the Managing Director.
  • Support contract and client documentation, ensuring confidentiality and accuracy.
  • Serve as a key point of contact between the Managing Director with existing and new customers, sponsors, and suppliers.
  • Coordinate hospitality, race attendance, and VIP logistics for partners and guests.
  • Organise internal leadership meetings, board sessions, and off-site events
  • Support budgeting, expense reports, and procurement for executive-level activities.
  • Provide operational support, working closely with all Managing Director direct reports and wider management team – becoming a conduit between all parties, encouraging collaboration and improved communication
  • Provide comprehensive administrative support to the Managing Director and Operational Management Team including a mixture of administrative, accounts management, including preparing reports and presentations
  • Preparing and editing correspondence, presentations, and other documents as needed, maintaining accuracy and confidentiality
  • Acting as point of contact for internal and external communications on behalf of the Managing Director, ensuring prompt and professional responses
  • Contract Management support, including proof reading of confidential documentation
  • Arrangement of leadership meetings, proactive minute taking and action log reporting
  • Project Management support for an array of initiatives within the department, including marketing strategy to tender documentation completion
  • Conducting research and gathering information to support decision-making processes and strategic initiatives
  • Managing special projects assigned by Managing Director, taking ownership from conception to completion
  • Support with the analysing Key Performance Data metrics, applying logic and identifying trends to help drive continuous improvement
  • Serving as a liaison between the Managing Director and other departments, facilitating communication and collaboration
  • Anticipating the needs of the Managing Director and proactively addressing them, demonstrating initiative and resourcefulness

  • Discretion and confidentiality in handling sensitive information.
  • Flexible and adaptable, comfortable with handling continual changing priorities and tasks.
  • Strong written and verbal communication skills with the ability to communicate at all levels within the business and be able to demonstrate the ability to effectively translate complex information into common terms.
  • Ability to research, analyse and reason logically and effectively within tight and conflicting time frames.
