The Cyber Security division, CSA Cyber, is one of the UK’s leading cyber security business providing 24/7 365 security operations; as well as incident response, technical, consulting and advisory services.
Role Purpose
Overall, this role is responsible for providing first-class support to the CEO both professionally and personally to ensure they can perform at the highest level. As part of this role, the individual will also be required to administratively support some of the wider senior executive team and Board including the Chairman; with a role to play in strategic initiatives, internal communications, external stakeholders, and human resource led projects. Owning the rhythm of executive work (time, information, decisions), ensuring governance discipline, and amplifying company-wide communications. You’ll coordinate across the company to deliver a seamless, professional experience for colleagues and visitors, and act as a bridge between senior leaders, teams, and key external partners.
Key Responsibilities
1. Board & Governance Support
- Oversee and plan the annual governance calendar for the CEO, working in collaboration with the Executive team and functional heads.
- Coordinate all Board and SLT meetings: agendas, papers, minutes, and follow-ups.
- Ensure governance processes run smoothly, with compliance deadlines and actions tracked and delivered.
- Maintain the Board document hub, ensuring accuracy and accessibility.
- Arrange meeting logistics and support seamless hybrid/remote participation.
- Liaise with Company Secretariat/legal advisors on filings, compliance, and director onboarding.
2. Executive Support
- Pro-actively identify potential risks, issues and opportunities across the CEO’s calendar and meeting agendas to ensure time of the CEO, Board and his Executive team is used as effectively and efficiently as possible.
- Pro-actively manage CEO’s diary, scheduling meetings, conferences, and events, for the CEO in a way that ensures their time is optimised..
- Prepare clear, compelling briefing materials, presentations, and communications.
- Act as a trusted interface for senior internal and external stakeholders, representing the Executive Team with warmth and professionalism.
- Manage travel and logistics mainly for UK commitments.
- Manage CEO’s expenses.
- Support CEO correspondence, speeches, and internal updates; ensure tone-of-voice consistency.
3. Business Communications (Internal)
- Draft and schedule internal comms (CEO updates, all-hands talking points, intranet posts).
- Support the monthly newsletter, Exec roadshows, All Hands, and comms forums that strengthen engagement and transparency.
- Maintain a lightweight editorial calendar; measure reach/feedback and iterate.
4. Stakeholder & Relationship Management
- Build trusted relationships with senior leaders, Board directors, investors, customers, and partners and their assistants.
- Handle confidential information with impeccable discretion; anticipate needs and remove friction.
5. Project & Operational Support
- Standardise executive rhythms (1:1s, offsites, reviews) and maintain action/decision logs.
- Project support to change projects, working closely with senior leadership and HR
- Drive small cross-functional projects (e.g., event logistics, office improvements, comms pilots).
- Prepare high-quality decks and documents using Microsoft 365 (Outlook, Teams, SharePoint, PowerPoint).
Skills, Experience & Attributes
Essential
- Superb organisation and prioritisation skills able to juggle multiple moving parts with ease.
- Expert calendar/inbox management, meeting preparation, and minute-taking.
- Strong written and verbal communication able to draft crisp CEO-level comms and simplify complex topics.
- Governance discipline: agendas, actions, packs, version control, and confidentiality.
- Office operations coordination; vendor liaison and basic budget tracking.
- Advanced MS365 skills (Outlook, Teams, SharePoint, PowerPoint); comfortable with collaborative tooling.
- High integrity and absolute discretion with confidential information.
- Calm under pressure, with great judgement and a natural ability to anticipate what’s needed.
Desirable
- Proven track record as Executive Assistant to a senior leader in a dynamic professional environment.
- Experience supporting internal communications or employer brand initiatives.
- Event management; AV/meeting room tech familiarity.
- Experience working with non-executive directors and Chairpersons.
- Knowledge of UK corporate governance practices.
- Experience in technology, telecoms, or multi-site organisations.
- Degree or relevant certification (e.g., Executive PA, Comms/PR).
