We are seeking a proactive and highly organized Executive Assistant to provide primary support to the Sr. Director, and secondary support to the Vision Care UK/Ireland Leadership Team as time permits. This role is critical in enabling the Sr. Director to drive strategic initiatives to executional excellence across the whole team. This will happen as this person helps the Sr. Director to have effective driving operational excellence within the leadership team, ensuring meeting cadence is maintained, enabling the team to deliver on strategic priorities. They will also handle technical administrative tasks.

A typical day in this role would include:

Key Responsibilities

Sr. Director and Leadership Team Support

  • Manage the regular cadence of leadership team meetings, including scheduling, agenda preparation, and follow-ups.
  • Attend leadership meetings, take detailed notes, and capture all action items.
  • Track and chase progress on assigned actions, ensuring accountability and timely execution across the leadership team.

Administrative & Operational Excellence

  • Schedule and coordinate meetings, manage diaries, arrange travel, and handle communications with internal and external stakeholders.
  • Handle confidential business and personnel information with discretion and professionalism.
  • Maintain accurate documentation through rigorous quality control, including data entry, filing, and archiving.

Compliance & Continuous Improvement

  • Adhere to GxP regulations by strictly following Standard Operating Procedures (SOPs).
  • Complete all required training and contribute to organizational compliance and continuous improvement initiatives.

Qualifications

  • Bachelor’s degree in business, management, or related field (or equivalent work experience).
  • 5+ years of experience in project management support, executive assistance, or a similar role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Exceptional organizational and multitasking skills with the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Strong problem-solving abilities and attention to detail.
  • Experience supporting senior executives or C-suite level personnel.
