Job description
Overview

We are delighted to be recruiting for an Executive Assistant to join us at our Bristol HQ. This is a permanent full‑time role and offers the benefits of flexible hybrid working. Typically, this would require minimum 2 days in our Bristol office per week with a choice of working from home on the other days (following an initial induction period). Some flexibility will be needed when required to meet business needs, for example supporting foundation events or board meetings. In this varied, engaging, and key role, you will provide support to four of the Triodos Bank UK (TBUK) Senior Management Team (SMT) to allow them to carry out their own activities effectively and efficiently by assisting in administration, scheduling/planning internal meetings, external diary management, travel bookings and expense management. In addition, this role will support the Foundation event space located on the lower ground floor of the Bristol Office. This role reports to the Business Manager to CEO.

Responsibilities
  • To establish and maintain strong relationships with the SMT to ensure positive interactions, manage all of their expectations of work, and prioritise tasks effectively.
  • Provide management of SMT calendars including booking internal & external meetings, protecting their time for private work, proactively managing clashes, and reprioritising during busy periods. Acting as first point of contact for internal and external calendar requests.
  • Provide light inbox management if required (i.e. flagging & deleting emails).
  • Manage travel bookings for the SMT and work with other management assistants to organise visits from colleagues at head office and other branches, and international platform event logistics.
  • Process expenses and credit‑card statements for the SMT.
  • Co‑ordinate bi‑annual team away days for each of your SMTs' departments.
  • Provide admin support for the CEO’s EA and Corporate Secretary team when needed.
  • Support the management of Foundation Events, including monitoring the inbox, liaising with external stakeholders, and greeting organisers on the day, in collaboration with other Executive Assistants.
  • Comply with all regulatory obligations and internal governance to help ensure ethical behaviour, deliver good customer outcomes, and avoid foreseeable harm, in line with Triodos’ practice of putting customers at the heart of what we do.
Qualifications
  • Previous experience of working in a secretarial or personal assistant role for multiple senior managers.
  • Strong interpersonal skills and the ability to influence and communicate with people at all levels.
  • Ability to manage conflicting stakeholder priorities and a diverse range of tasks while paying close attention to detail.
  • Ability to react flexibly to changes and to deal positively with pressure.
  • Maintain a high level of confidentiality when dealing with sensitive information.
  • Solid computer skills in Microsoft Word, Excel and PowerPoint.

Salary and Benefits

In return for your hard work and expertise, you will receive a competitive full‑time equivalent salary of between £32,000 and £38,000, depending on experience, plus access to our extensive benefits package, most of which is non‑contributory.

  • Non‑contributory pension scheme from your first day (8% in year 1, 10% from year 2 onwards).
