We currently have an exciting opportunity for two passionate, dedicated and skilled Executive Administrators. One role to be based at Eastleigh College and one at Southampton College with ability to work across site when required. The information below provides more detail about the role.

Duties:

  • Manage the Executive Administration inbox and corresponding admin, including events sent to staff through the diary for group related meetings and events and appropriate actioning of tasks.
  • Manage the Feedback inbox and ensure appropriate tracking and monitoring of compliments and complaints, ensuring corresponding admin is completed to a high standard and policies and procedures are followed correctly.
  • Maintain the College Intranet sites owned by the Executive Administration team, creating and publishing group news posts to support operational and strategic functions of the group.
  • Provide general administration to the Executive Team including but not limited to printing, filing, room bookings, external lettings, meeting set up, etc. Support the team with additional admin items where required.
  • Liaise with managers to ensure all information is reflected in the Executive Administration diary and other diaries; Fire and Lockdown Drills, Building works, Events, VIP guests, etc.
  • Prepare agendas, Terms of Reference and papers ahead of committee meetings and minute assigned meetings across the group. Distribute the minutes and actions to the committee and track progress against these.
  • Own the process for Student Disciplinary matters and corresponding admin, with a high level of customer service and support.
  • Network with colleagues across the group to source accurate information and support the development of processes in place.
  • Assist with external event prep, set up and tasks, support group events such as open events, enrolment, exams periods etc. Join task group meetings in the lead up to events for information and providing support.

Skills / Experience:

  • Excellent IT skills with competency in Microsoft Packages.
  • Good time management and the ability to work under pressure and meet deadlines.
  • Highly organised and motivated individual.
  • Ability to work individually and effectively as part of a wider College team.
  • Experience of working in an administrative role and office.

Qualifications:

  • Minimum GCSE grade 4/C in English & Maths or equivalent.
  • Business Administration qualification is desirable.
