Overall purpose of job
To coordinate all planning, bookings and on‑site operations at Avon Wildlife Trust’s site, Grow Wilder relating to events and space hire. This will likely include:
- Planning an annual events calendar
- Ensuring there is appropriate staffing and resources to deliver all events.
- Preparing rooms and the site to successfully host events and space hires.
- Contribute to planning of existing learning programmes and design new learning opportunities and inspirational events to inspire a wide range of audiences with nature.
- Work in collaboration with our communications team to produce inspiring and creative content to market all events.
Main responsibilities
- Manage the administration and scheduling of bookings for all events at our Grow Wilder urban nature reserve.
- Design and plan events at Grow Wilder in collaboration with Avon Wildlife Trust colleagues. This could include booking site hire, Wild Workdays, adult education courses and a variety of events.
- Taking all bookings for external room and site hire and ensuring Grow Wilder facilities are appropriately set‑up for site hire customers.
- Preparing and set up of on‑site spaces for events and creation of promotional material e.g. signs and other brochures in line with the Trust’s brand tool kit.
- Working with our communications team to create regular, inspiring communications and marketing content for use across a wide range of digital and non‑digital channels. Using accessible communications to engage a wide range of audiences, liaising with the central communications team.
- Work in conjunction with relevant team members and our central Communications team to ensure marketing is optimised through the Avon Wildlife Trust and Grow Wilder web pages.
- Collate information and user feedback to evaluate and report on financial performance and engagement impact of all events, with an ethos of continuous learning and improvement.
- Support Avon Wildlife Trust colleagues and freelancers to deliver key events and courses regarding the customer lifecycle: enquiries, bookings, tutor and participant payments, event support on the day, final feedback.
- Lead and plan our key events over a well organised annual calendar, by booking market stallholders, activities, delivery on the day e.g. Spring Fayre, Harvest Festival, Yule Fayre etc.
- Respond to enquiries, take bookings and deposits for our flagship programme, the Grow Leader course.
- Feed into Trust‑wide comms planner with details of Grow Wilder offers and events, proactively seeking new bookings for Wild Workdays and taking photos of ongoing activities on site to be shared via our social media and newsletters.
- Any other daily operational tasks as requested by the Grow Wilder site manager. It is a small onsite team, flexibility and covering others during times of absence is essential to make the site work well.
