A leading hospitality firm in Bilston is seeking an Estates Governance Coordinator to support the Estates team in achieving departmental goals. This role involves comprehensive administrative support, documentation management, and coordination across various stakeholders. As Estates Governance Coordinator, you will provide professional and efficient support to the Estates team to ensure department key objectives are met, including supporting the delivery of the divestment strategy and comprehensive estate management.
To provide comprehensive administrative support to the Estates Team; managing internal Estate System, maintaining records and key estates documents. Development and maintenance of process guides and ensuring processes are followed within the team. Administration associated with the Leasehold estate and management of Asset of Community Value (ACV) and Pubs Code compliance matters for disposal activity and internal auditing. Minute taking at Team Meetings as required including off site visits. Coordinating and updating system(s) with Valuation Office Agency business rates information. Liaising with internal departments, solicitors and agents to maintain business continuity and achieve key objectives. Manage requests for information from solicitors, agents and Head Landlords, and coordinate the provision of statutory certificates. Reviewing, sorting, scanning and distribution of post – prioritising as appropriate. General queries relating to Leasehold sites, arranging access for Head landlord inspections and payments. All ad‑hoc reporting and project work as required.
We are seeking a proactive individual who thrives in a fast-paced environment with the ability to manage multiple priorities, remain focused under pressure and maintain high standards of accuracy while working to tight deadlines. The role requires a highly organised and excellent communicator acting as a key link between field-based colleagues, agents, solicitors, and administrative colleagues. The position is office based, and you will be required to attend off-site team meetings. Previous experience of Pub Industry and/or Estates or Property role. High level of IT proficiency, with confidence navigating multiple estate management, compliance, and reporting systems. Confident with SharePoint Online, Outlook and familiar with Dynamics 365BC, MRI Prolease, Invida, Nimbus and Outsystems. Able to quickly learn new platforms and maintain accurate, well‑organised records to support effective estates governance. Strong ability to read, interpret, and analyse leases and associated property documentation, identifying key obligations, financial terms, and governance requirements. Excellent data accuracy, including inputting and updating detailed lease information, and financial details, ensuring reliability of estates data across all systems. Proactive and self‑sufficient, able to organise and manage workload independently, use initiative, drive tasks forward and take ownership of tasks while maintaining high standards of accuracy and compliance. Able to work at pace. Confident communicator who is comfortable asking questions, seeking clarification, and escalating issues appropriately. Understands when to work independently and when to engage others to ensure accuracy and compliance. Detail-focused and analytical, able to spot inconsistencies, challenge missing or unclear information, and contribute to the continuous improvement of estates governance processes. Proven ability to work collaboratively with internal and external stakeholders and prioritise tasks.
