Overview

An opportunity has arisen for an Estates Data Administrator within the Property Service team.

Responsibilities
  • Manage the capture, retrieval, analysis and reporting of estate data for the annual NPEG benchmarking exercise.
  • Work with and provide support to the Facilities Systems Supervisor (FSS) to ensure the maintenance of the department’s Computer Aided Facilities Management (CAFM) system.
  • Provide detailed information to colleagues regularly throughout the year, particularly in response to requests for rolling 10 year FMR information on specific properties.
  • Liaise with Surveyors and Engineers to collate and record Condition Survey information; use this to update the FMR for Operational, Custody, Covert site and residential properties to assess the Force’s ongoing maintenance requirements/liabilities.
  • Provide FMR information leading to the preparation of the annual revenue maintenance programme in February/March each year (c.£3.8m for the period).
  • Carry out end of year data analysis/reconciliation to identify Programme Works completed and revise the rolling forward FMR as required.
  • Work with and support the Facilities Systems Supervisor to ensure CAFM data integrity and accessibility.
  • Use information from monthly utility bills (electricity, gas, water, LPG, oil, and wood pellet) to record usage for every TVP site, collate into annual data and calculate CO2 emissions to support the Energy & Sustainability Manager.
  • Ensure all utility information is stored on the CAFM system, including meter numbers, MPANs, MPRN, SPIDs, and details of meter locations.
  • Assist in the preparation of data for key internal/cyclical/annual reports (e.g., Annual Environmental Report, Operational Performance Group quarterly estate updates) and for the mandatory Display Energy Certificates (DECs).
