Job description

Location: Great Western Hospital, SN3 6BB

Contract: Permanent, 37.5 hours per week

Hours: Monday-Friday, 8am - 4.30pm

Salary: Upto £27,000.00 per annum + Excellent benefits

About the Role

We are looking for a highly organised and proactive Estates Co-ordinator to support Serco's CAFM & Asset Manager and wider Estates teams. This role plays a vital part in managing planned, reactive and remedial maintenance activities, ensuring full compliance with contractual and statutory requirements.

You will work closely with the Concept Evolution CAFM system, helping maintain accurate asset data, allocate works, and provide administrative and financial support across the Estates department. This is a great opportunity for someone with experience in facilities management who is detail-focused, technically minded, and thrives in a fast-paced environment.

Key Responsibilities
  • Support the allocation and delivery of all planned and reactive maintenance using the CAFM system.
  • Ensure resources for planned, remedial and reactive works are efficiently utilised in line with contractual priorities.
  • Monitor Estates staff activity, ensuring all work meets required standards and timescales.
  • Ensure all maintenance tasks are closed accurately and with the required evidence on the CAFM system.
  • Upload planned activity schedules to support statutory compliance.
  • Review PPM and compliance documentation, upload evidence, close tasks, and log/track remedial works.
  • Provide financial and administrative support, including purchasing through Guided Buying, raising POs, and receipting invoices.
  • Act as the first point of contact for Estates calls and emails (07:00-19:00), providing updates, logging jobs, and offering technical information when required.
  • Support meetings through minute-taking, maintain Estates filing systems, and assist with reporting for contract governance.
  • Provide second-line support for CAFM tablet configuration and maintain asset records within the technical library.
About You
Essential Skills & Experience
  • Experience in a similar Facilities Management or Estates role.
  • Strong technical understanding of building services.
  • Excellent written and verbal communication skills; able to build strong working relationships.
  • Highly organised, detail-driven, and able to manage multiple priorities independently.
  • Strong IT skills, including MS Outlook, Excel, PowerPoint and Word.
Desirable
  • Concept Evolution or CAFM system experience (training provided).
  • Understanding of purchasing/procurement systems.
  • Ability to communicate confidently with a range of stakeholders including contractors, clients, supervisors, and technical teams.
