Estate Agency Junior Assistant
Salary starting from £22,500 depending on experience plus commission after 3 months probation. Working hours: 8.30am‑6.00pm Monday‑Friday (Thursday off) with Saturdays 8.30am‑5.00pm (5‑day week).
Customer service and front office support
- Greet clients in person, by phone, and via email in a professional and courteous manner.
- Manage general enquiries and direct them to the appropriate team member.
- Maintain a tidy and welcoming front office/reception area.
Sales support
- Assist in booking viewings for prospective buyers.
- Liaise with vendors and buyers to confirm appointments.
- Support Sales Negotiators with administrative duties and calendar management.
- Prepare sales brochures and marketing displays.
Lettings support
- Assist in booking and confirming viewings for rental properties.
- Liaise with tenants and landlords to schedule appointments.
- Collect and organise documentation for referencing and tenancy applications.
- Prepare tenancy paperwork (ASTs, deposit forms, etc.) under supervision.
- Support the Lettings team with administrative tasks and diary management.
- Prepare Lettings brochures and window cards.
- Update and maintain accurate property listings on online portals (Rightmove, Zoopla, etc.).
Marketing and advertising
- Assist with the preparation of marketing materials including window cards and property brochures.
- Upload and manage property listings on online platforms and the company website.
- Monitor property adverts to ensure they are accurate and up to date.
Administrative duties
- Enter and maintain data within the CRM system (e.g. applicant details, property status).
- File and manage documentation (both digital and paper‑based).
- Carry out general office duties including printing, scanning, photocopying, and post handling.
- Support email and postal communications, including mailouts.
Office and compliance support
- Ensure all required documentation is collected for new listings (e.g. EPCs, gas safety certificates). • Assist in managing the lettings and sales team diaries. • Help maintain compliance with data protection (GDPR), Anti‑Money Laundering (AML) regulations, and industry standards.
Additional duties (as required)
- Accompany property viewings once training is completed and appropriate approvals are in place.
- Attend internal meetings and take minutes where required.
- Shadow senior team members for training and learning purposes.
- Support move‑in and move‑out procedures for tenants.
