The Office for Institutional Equity & Inclusion plays a critical role in helping us to prioritise staff and student development, engagement, accreditation, monitoring and integrated practice improvement needs. Led by the Assistant Vice-President (EDI) who reports to the President, and the Head of EDI, the Office for Institutional Equity & Inclusion is a single University-wide unit actively and passionately transforming our organisational culture and supporting the progression and success of our staff and students. This EDI Administrator and Coordinator role will support this ambition by providing the EDI team with high quality administrative support. We are looking to appoint someone who will not only ensure we meet our equality, diversity and inclusion ambitions, but also that they support and enable the pursuit of excellence in all that we do.

Responsibilities
  • Manage the planning, co-ordination and administration of the EDI events, training programmes, workshops and online events. This includes managing bookings, arranging logistical requirements (venues, equipment and catering), updating relevant systems, preparing relevant materials and ensuring timely communication with attendees.
  • Build and maintain effective working relationships with internal and external stakeholders, including all training providers, meeting trainers onsite where necessary.
  • Ensure effective and timely communication with all stakeholders, including preparation and circulation of promotional material throughout the University and maintaining and developing the EDI webpages.
  • Act as the first point of contact for enquiries, providing guidance to stakeholders on EDI queries, training, events, resources and access to relevant information.
  • Collaborate with the EDI team to ensure efficient service delivery to stakeholders, smooth coordination of events, and effective management of the shared EDI team inboxes, EDI team calendar and Outlook diaries as required.
  • Review, track and monitor feedback following EDI events, assist with evaluating the effectiveness of EDI training courses and development programmes and identify opportunities to improve team processes and services delivery.
  • Oversee the management of EDI records and content, including the booking and tracking of EDI activities, events and planners to ensure data accuracy; produce reports, monitor attendance at EDI events and training sessions and maintain all key records (e.g. pre-bookings) to support effective programme delivery.
  • Ensure timely and accurate processing of payments and invoices, order team supplies as required, maintain necessary records and manage the budget spreadsheet.
  • Assist in the development of the annual EDI programme maintaining and updating project plans to support a wide range of EDI events and initiatives.
  • Coordinate with EDI team members and colleagues across the University to gather updates on activities and initiatives and compile these into a comprehensive monthly EDI news update.
  • Support the promotion and visibility of the EDI office by attending and assisting with team-led events, including staff inductions.
  • Minute taking and administrative support for EDI team meetings, other meetings and Committees / Boards as required.
  • Maintain own continuous professional development.

Qualifications and Knowledge
  • Educated to A level or equivalent and / or appropriate work experience (E, A)
  • Educated to Degree level or equivalent and / or appropriate work experience (D, A)
  • Knowledge of Equality, Diversity and Inclusion and EDI legislation (E, A)
  • A broad understanding of Higher Education sector working practices (D, A)
Experience
  • Experience of collaborative working with staff across all levels (D, A)

  • Experience of working with different systems and tools (e.g. Surveys, Learning Management Systems, HR Systems) (D, A)
