Overview

We are looking for an administrator to provide comprehensive professional and confidential administrative support to the members of the Clinical Placement Team and to the Education, Training & Development team.

Eligibility

This vacancy is open ONLY to employees of The RJAH Orthopaedic Hospital NHS FT, Shrewsbury & Telford NHS Trust, Shropshire Community NHS Trust and Shropshire Telford and Wrekin ICB. Only applications from candidates currently working in these organisations will be accepted. Under current Home Office Immigration Rules, this role does not meet the UK Visas and Immigration criteria and the position is not therefore eligible for sponsorship. Applications from candidates that require skilled worker sponsorship will NOT be shortlisted.

Responsibilities
  • Maintain a high level of communication with the Teams.
  • Manage Clinical Team diaries and deal with enquiries from any internal and external contacts, ensuring that urgent enquires are given to the appropriate person.
  • Develop a system to ensure all important messages are relayed as quickly as possible.
  • Communicate complex information by telephone and e-mail in an articulate manner.
  • Post holder required to have accurate keyboard skills and be familiar in the use of Microsoft Office applications including, Word and Excel.
  • Set up and maintain any databases as required by Teams.
  • Produce reports and audit data sets.
  • Plan and support Medical Student induction.
  • Design and prepare posters for educational events.
  • Maintain electronic filing system and initiate systems for the correct and safe storage of information both in paper and computer‑generated form.
  • Arrange and prepare meeting agendas, take and type minutes for meetings and distribute after approval.
  • Arrange meetings, booking venues and refreshments as necessary.
  • Report and record Student/learner absence.
  • Type and disseminate written communications to the wider workforce.
  • Photocopy, scan and upload information digitally.
  • Maintain stationary supplies using the Oracle ordering process.
  • Manage own duties; prioritise needs of both Teams in an organised way.
  • Work independently when Team Leads are out of office.
  • Carry out any other duties as requested by the Teams.
