Job summary

Newcastle University is seeking an Education Assistant to join the School of Pharmacy’s Professional Services Team. You will support administrative activities across the academic year, collaborating with students, academic colleagues and central services to enhance the taught programmes.

Qualifications

Responsibilities

  • Provide administrative support across the full student lifecycle (from recruitment to graduation).
  • Input amendments to annual documentation such as modules and regulations.
  • Update information in University systems and distribute materials to staff and students.
  • Check and update student data and ensure module registrations where required.
  • Support tutor allocations and monitor meetings via the ePortfolio system.
  • Assist Education Coordinator with attendance monitoring administration.
  • Process and track assessment materials and upload marks to systems.
  • Assist in organising practical assessments and examination venues.
  • Support adjustments for wellbeing or extenuating circumstances.
  • Arrange student placements and maintain accurate records.
  • Coordinate timetable requirements and liaise with academic staff on constraints.
  • Support allocation of research projects to students.
  • Act as secretary to meetings when required, including agenda, minutes, actions.
  • Set up evaluations for students to complete.
  • Occasional weekend working may be required.

The Role

We are seeking a motivated and enthusiastic Education Assistant to join the Faculty’s Professional Services Team in the School of Pharmacy.

In this role, you will support the delivery of an excellent experience for our students and staff by contributing to key administrative activities across the academic year. Working as part of our friendly Education Team, you will collaborate closely with students, academic colleagues and central services, with a particular focus on supporting our taught programmes.

We are looking for someone with strong organisational skills, excellent communication and interpersonal abilities, and confidence engaging with colleagues at all levels. You should have solid IT skills, including experience with Microsoft Office, and be able to work accurately with complex and confidential information. You will be a team player who can also use your initiative to prioritise tasks and meet deadlines. Previous experience in higher education is desirable but not essential.

Your responsibilities will span the full student lifecycle—from recruitment and registration to assessment, progression and graduation. You will also support key academic processes and committees, with particular involvement in examination administration.

The position is open-ended and offered on a full-time basis (37hours per week) with an immediate starting date. The role is predominantly campus-based on the City Campus in Newcastle upon Tyne. Key Accountabilities
  • To provide administrative support to the education function of the School across the full student lifecycle (from registration, through progression to completion)
  • Responsible for inputting amendments to annual documentation such as modules and regulations
  • Responsible for ensuring up to date information is uploaded to the appropriate University systems. In addition, to be responsible for inputting updates of teaching materials on University systems as they arise, and the timely distribution of materials to staff and students
  • Responsible for checking and updating student data using University systems, including ensuring students are appropriately registered for modules as required
  • Where appropriate, supporting the allocation of personal tutors to students, and for monitoring meetings between tutors and tutees via the ePortfolio system
  • Support the Education Coordinator with student attendance monitoring administration as requested
  • Responsible for receipt and collation of assessment materials from academic colleagues, for tracking assessed work out for marking and chasing to ensure it is processed within expected timescales. In addition, transcribing or uploading marks to relevant University systems
  • To support the organisation of practical assessments and assist in setting up examination venues
  • To support the administration of processes relating to adjustments required for students with wellbeing issues or personal extenuating circumstances
  • To provide support for the arrangement of student placements and maintaining accurate records
  • To support the collation of timetable requirements in agreed timescales and, liaising with academic staff regarding requirements, advising on constraints and practicalities of requests
  • To provide support for the allocation of research projects to students
  • Where appropriate to act as secretary to designated meetings, including agenda preparation and circulation, minute taking and monitoring progress of actions
  • Responsible for setting up on University systems evaluations for students to complete
  • Any other duties within the scope and general nature of the grade which may be required. This includes some flexibility in working hours and may include occasional weekend working (in the region of two Saturdays per year)
