Job Summary
We are seeking a highly organised, proactive, and discreet Executive Assistant (EA) to support the HR Director in delivering strategic and operational priorities at one of our Law Firm clients. The EA will play a pivotal role in ensuring the HR Director's time is optimised and that departmental activities run smoothly. This position requires exceptional communication skills, attention to detail, and the ability to handle sensitive information with the utmost confidentiality.
Key Responsibilities
Executive Support
- Manage the HR Director's calendar, including scheduling meetings, appointments, and travel arrangements.
- Act as the gatekeeper and primary point of contact for internal and external communications.
- Prepare Board meeting agendas, take minutes, and follow up on action items.
- Handle confidential documents and correspondence with professionalism and discretion.
Administrative & Operational Support
- Coordinate departmental meetings, offsites, and events, including logistics and materials.
- Support the preparation of presentations, reports, and data analysis using MS Office or other tools.
- Maintain HR documentation, tracking systems, and filing in accordance with company policies.
- Liaise with internal departments and external stakeholders on behalf of the HR Director.
Project Coordination
- Assist in tracking HR projects, KPIs, and strategic initiatives.
- Help manage timelines and deliverables for key HR programs (e.g., performance reviews, engagement surveys, DEI initiatives).
- Support HR team leads in coordinating cross-functional projects when required.
Requirements
- Experience: 3+ years in an Executive Assistant or similar role, ideally supporting senior leadership in HR or corporate functions.
- Education: Bachelor's degree preferred, or equivalent professional experience.
- Skills:
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication.
- Strong organisational and time-management skills.
- Ability to prioritise, multitask, and remain calm under pressure.
- High level of discretion and integrity in handling sensitive HR information.
Preferred Qualifications
- Previous experience in an HR department or understanding of HR processes.
- Experience working in a fast-paced or matrixed corporate environment.
- Familiarity with HRIS systems or tools such as Workday, SAP SuccessFactors, etc.
