Job Summary

We are looking for an enthusiastic and resilient person to join our admin team as a Document Management Team Supervisor. Applicants should have a pleasant, approachable manner, be a team player, have good computer and communication skills, and remain calm whilst busy. Previous experience in a Primary Care environment is an advantage but not essential. Appropriate training will be provided for the right applicant.

About Us

Church Stretton medical practice is located at the bottom of the Stretton Hills. It is a friendly, professional and busy practice with approximately 7,200 patients. We are a 6‑partner practice, 2 salaried GPs, 6 nurse practitioners, supported by a strong HCA and administration team. We are also a training practice.

Job Description

Responsibilities:

  • Supervise the Document Management Team, ensuring cover is in place for periods of absence and developing ways of working and protocols.
  • Train the team and ensure all documentation is dealt with promptly.
  • Perform regular checks of the Document Management email throughout the day, uploading documentation to medical records.
  • Open, scan and process all mail twice daily, ensuring complete upload to Medical Records.
  • Monitor and extract relevant information from any other deliveries to the Practice for individual patient records.
  • Deal with urgent or safeguarding items immediately and flag to the relevant clinician; if unavailable, contact the Doctor of the Day.
  • Code information on patient records in line with current protocols.
  • Liaise with the Document Management Lead GP at least monthly to review protocols and recommend adjustments.
  • Carry out any reasonable duties as requested from time‑to‑time.

  • Practical experience of working with others.

  • Experience of developing previous roles.
  • Experience of working within a General Practice environment.
  • Practical experience of computerised recording systems.
