A friendly medical practice in Church Stretton is seeking a Document Management Team Supervisor to oversee the documentation process and lead the admin team. Candidates should possess excellent communication and IT skills, along with experience in general practice. The position involves supervising the team, managing documentation workflows, and ensuring patient information is accurately recorded. Appropriate training will be provided. We are looking for an enthusiastic and resilientperson to join our admin team as a Document Management Team Supervisor.
Applicants will need a pleasant, approachable manner,be a team player, have good computer skills, good communication skills and theability to remain calm whilst busy.Whilst previous experience of working in a Primary Care environmentwould be an advantage, it is not essential.Appropriate training will be provided for the right applicant.
This role is predominantly the processing ofdocumentation received into the Practice via all mediums, including thedevelopment of the team and processes.
Church Stretton medical practice is located at the bottom of the Stretton Hills. It is a friendly, professional and busy practice which has approximately 7,200 patients.
We are a 6 partner, 2 salaried GPs, 6 nurse Practice who are supported by a strong HCA and administration team.
We are also a training practice.
Supervisethe Document Management Team, to include ensuring cover is in place for periodsof absence; developing the ways of working and protocols to reflect these;training needs of the team and that all documentation received is dealt with ina timely way.
Regularchecks of the Document Management email address throughout the day to ensureall documentation relating to patients is uploaded on to medical records andprocessed accordingly.
Twicedaily opening, scanning and work flowing of all mail requiring uploading on toMedical Records.
Monitoringand extraction of all other relevant information that is delivered to thePractice that is relevant to individual patients, ensuring that it getsuploaded to medical records.
Ensurethat anything urgent or relating to safeguarding is dealt with immediately andflagged up to the relevant clinician as soon as possible, if they are notavailable the Doctor of the Day should be contacted
Undertakethe coding of information on patient records in accordance with correspondencereceived and in line with current protocols.
Liaisewith the Document Management Lead GP at least monthly to ensure protocols areworking and to discuss any adjustments that are needed.
