Responsibilities
  • Register, file, track, and archive incoming and outgoing documents, including drawings, specifications, correspondence, and reports.
  • Develop and maintain a document transmittal system for all correspondence.
  • Co‑ordinate with business development, planning, and finance departments to ensure timely submission, review, and distribution of documents.
  • Liaise directly with contractors and suppliers to review and control the flow of project documentation.
  • Co‑ordinate with internal teams and external stakeholders, maintain version control and ensure up‑to‑date documentation is available.
  • Liaise with relevant parties by organising and indexing records in a traceable format.
  • Develop and manage a project control system using Sharepoint.
  • Provide training and guidance on the document control system as required.
Qualifications
  • Viewpoint or 4 Project experience (system used).
  • Knowledge of Microsoft Office software, especially Word, Excel, and Outlook or similar programmes.
  • Verbal and written communication skills.
  • Strong organisational and management skills.
  • Clear and efficient numbering and labelling skills.
  • Attention to detail to ensure documents are accurate.
  • Filing and organisation skills for document storage.
