The ideal candidate will have strong expertise in Microsoft SharePoint and PowerBI, along with a proven track record in document control. Applicants must be permanent residents of the UK and possess excellent English communication skills.

Document Administrator QSSHEF - UTEC Geo-Services

UTEC Geo-services is seeking an experienced Document Controller/Administrator to join our team on a full‑time, permanent basis. This newly created role is ideal for someone with several years of administrative and document control experience with a deep understanding of Microsoft SharePoint libraries and SharePoint based Intranet.

Location & Working Arrangement

This is an office‑based role (with hybrid working 3 days office, 2 days home), located at our modern facility in Aberdeen (AB23) or either Wokingham (RG41) or Edinburgh (EH12). Candidates must live within daily commuting distance and be flexible with office days to meet business needs.

The data we generate provides our clients with the information they need to make critical, well informed, business decisions.

UTEC is looking to hire an experienced Document controller/ Administrator on a full‑time, permanent basis at one of their facilities, preferably in Aberdeen, but we would also consider Edinburgh or Wokingham for the right candidate. The role holder will provide administrative support and document control to the Quality, Security, Safety & Health, Environment & Facilities (QSSHEF) function in support of its Geo‑services Management System (GMS). The role will be involved in the processing and publishing of internal documents, operating the GMS (a SharePoint based library), and administering our SharePoint based Intranet, as well as operating the global helpdesk.

Duties/Responsibilities
  • Receive and process document changes including quality control and publication.
  • Monitor document review and updates and carry out perioding document library hygiene.
  • Administer Geo‑services QSSHEF data via its internal reporting systems.
  • Receive, log and triage help requests via our Q‑Ticket system.
  • Receive reporting system queries or issues and remedying them.
  • Complete periodic data hygiene activities utilising PowerBI, and other internal systems.
  • Provide limited absence cover for the QSSHEF Coordinator.
  • Process new supplier questionnaires.
  • Operate the Geo‑services QSSHEF helpdesk.
  • Aid with internal and external audits.
Requirements
  • Excellent familiarity with operating Microsoft SharePoint libraries.
  • Good understanding of Microsoft PowerBI or similar data dashboarding systems.
  • Ability to work diligently with autonomy and focus on the priorities.
  • An inquisitive mind that looks to understand why, rather than ticking a box.
  • MS Office Software qualifications or demonstrable capability of Word, Excel, PowerPoint, and Forms.
  • Excellent written and oral English language skills.
  • Experience of Incident reporting systems, or other similarly complex IT systems.
