Job Summary

An exciting opportunity to join the management team and help shape the future direction of travel for the Neurology, Stroke and Rehabilitation Directorate. The role is multifaceted with the primary responsibility leading administrative service across two sites (Worthing and St Richards). The successful candidate will be visible on both sites.

Chief duties include managing the Directorate admin teams at Worthing, Southlands and St Richards Hospitals and enabling a comprehensive administrative service for patients and clinical/non‑clinical teams. The role serves as the first point of contact for the admin teams and our service users, managing workload to ensure efficient operation and supporting the Directorate Management Team with delivery of outpatient services in line with performance targets.

Responsibilities
  • Direct line management of Band 4 Specialty coordinators and Band 3/2 admin support staff, including leave approval, rostering and all HR processes.
  • Lead and support Directorate Administration processes across all sites.
  • Recruit, interview, and appoint admin staff in partnership with the Operational Manager.
  • Support the Directorate Patient Access Manager and Operational Managers with waiting‑list validation and outpatient clinic capacity to meet Trust performance targets.
  • Co‑ordinate with multidisciplinary teams to resolve PALS concerns.
  • Organise and attend Directorate Board meetings, divisional & directorate meetings, and deputise for the Patient Access Manager when required.
  • Order non‑clinical supplies for the Directorate teams at Worthing and St Richards.
  • Develop and promote positive working relationships and team‑building skills within the division and Directorate.
  • Prepare and analyse reports on clinic utilisation, KPIs and RTT, highlighting issues and proposing improvements.
  • Maintain accurate electronic filing, data entry and information system management.
  • Ensure all correspondence is signed and presented within reasonable timeframes and manage stationery ordering.
  • Arrange and lead regular team meetings and huddles, and provide support for staff appraisals, PDPs and training.
  • Drive continuous improvement through process mapping, SOP development, and change implementation.
  • Support the Operational Manager with governance, risk management and delivery of performance targets.
  • Commit to the Trust values and enhance staff engagement, wellbeing and diversity.
Qualifications
  • 5 GCSE A‑C grades (or equivalent), including English & Maths.
  • Advanced, Higher Level, Vocational or Business and Administration qualification or equivalent experience.
Desirable
  • Certificate in Leadership or Management.
  • Understanding of the provision and delivery of health care services.
  • Mentorship training and Lean management system knowledge.
Skills and Experience
  • Innovative and service‑focused approach with excellent communication skills.
  • Strong prioritisation ability and capacity to manage competing demands.
  • Demonstrated attitudes and behaviours supporting the Trust’s vision “We Care”.
  • People‑management experience: recruitment, training, appraisals, performance management.
  • Advanced IT skills and experience training staff on Trust IT systems.
  • Ability to develop, build and maintain supportive relationships within the team.
