Job summary

A regional emergency service is seeking a DDaT Coordinator to provide administration support and management information across DDaT processes. Job description
Responsibilities
  • Operates as a generalist DDaT coordinator, providing accurate and relevant administrative advice, guidance, and management information to DDaT business partners and managers across the Service in a broad range of DDaT processes.
  • Supports the development and application of continuous improvement initiatives in line with the strategic direction of DDaT, working closely with team members to benefit both colleagues and stakeholders.
  • Manages various aspects of transactional DDaT services related to the digital and data lifecycle, utilising relevant DDaT systems and external platforms (e.g., ServiceNow, Office 365, or similar systems) for tasks such as preparing documents and managing communications for digital changes.
  • Handles day-to-day DDaT queries, providing advice in line with current policies, procedures, and best practices.
  • Coordinates IT-related administrative tasks, including scheduling meetings, documenting processes, managing IT support tickets, and maintaining regular communication with internal and external stakeholders.
  • Builds and maintains effective stakeholder relationships with managers, colleagues, business partners, and promotes positive digital engagement with employees.
  • Provides professional customer service and collaborates with stakeholders across the Service, as well as external agencies and third-party contacts when necessary.
  • Assists with management information and data analytics to support key business areas such as presence management, workforce planning, and process optimisation, ensuring the accurate tracking of digital assets and services.
  • Provides administrative support for the overall DDaT function, including general processes, system updates, and casework, such as note-taking during digital, data, and technology-related hearings.
  • Ensures all tasks are performed in a safe and diligent manner in line with Health and Safety policies and relevant legislation.
  • Oversees the tracking, auditing, and management of IT assets, ensuring accurate records of hardware, software licenses, and digital tools. Coordinates with relevant teams to ensure timely renewals, updates, or decommissioning of digital assets, and supports compliance with organisational policies.
  • Actively demonstrates and promotes the Service's core values and code of ethics in daily practice.
  • Supports other team members with additional administrative duties as required, commensurate with the role's grade.

  • Excellent communication skills (written and verbal)
  • Experience of taking minutes or note taking during meetings
  • Experience of working in a busy environment with changing priorities
  • Proven organisational, time management and prioritisation skills
  • A flexible / adaptable approach with the ability to work efficiently and effectively, both independently and as a proactive team member.
Employment details
  • Permanent basis, 37 hours per week.
  • Salary £29,540 (grade 4) rising annually to £32,061 (gross) per annum.
  • Based at Service Headquarters in Exeter, with some opportunity for home / flexible working to be agreed with the line manager.
