Overview

This is an exciting opportunity to join a small but essential team at Bedford Hospital, where you will support patients from arrival through the end of their care journey. As part of the main reception, you will be the welcoming face of the hospital, helping to manage patient flow and ensure every clinic runs smoothly and efficiently. The role values professionalism and initiative, with responsibility for staying on top of clinic schedules and future bookings with confidence and precision.

Beyond general reception duties, you will take on responsibility for individual clinics, offering a chance to deepen your understanding of a wide range of medical specialties and hospital systems. This is a role that combines front-facing service with behind-the-scenes coordination, ideal for someone who thrives in a dynamic healthcare environment. Familiarity with systems such as IPMs, Attend Anywhere, Mediviewer, Diamond, and Excel is advantageous, but more importantly we are looking for someone eager to learn, grow, and contribute to the smooth running of hospital services.

Responsibilities
  • Patient/Public contact - Greeting and making patients feel welcome to the department, and managing patient transport when needed.
  • Accurate data input relating to patient details and appointments.
  • Deal with telephone enquiries in a polite and courteous manner; manage Nurse log for same-day queries (including voicemail, cleared daily).
  • Administration duties — managing waiting lists, booking appointments (urgent & routine), prepping clinics for next day/week, finding referrals and managing online appointments if needed, rescheduling/cancelling clinics, and reminder calls.
  • Booking clinics and using multiple calendar systems to co-ordinate with Nurses/Doctors/CSWs.
Requirements and Skills
  • Experience or familiarity with hospital reception duties and healthcare environment is preferred.
  • Familiarity with systems such as IPMs, Attend Anywhere, Mediviewer, Diamond, and Excel is advantageous.
  • Ability to prepare all relevant documentation for clinics, ensure patient labels, new referrals and results are available in patient notes, and maintain relationships with clinical staff.
  • Excellent communication and organisational skills; ability to liaise with consultants and secretaries regarding clinic queries and referrals.
  • Ensure PIMS is fully maintained, patient information is up to date, and clinics are properly managed in waiting lists where appropriate.
  • Book results into clinic and assist in covering the absences of other reception staff as required, potentially across different areas.
  • Arrange for patients' records to be tracked and returned to the Records Library or relevant secretary after each clinic session.
  • Ensure the Reception area is well maintained and coordinate with Domestic and Estates departments as needed.

• Ensure PIMS is fully maintained, all patient information up to date and clinics are appropriately cashed up and patients added to waiting lists where appropriate.

• Arrange for patients’ records to be tracked and returned to the Records Library or relevant secretary after each clinic session.

• Ensure that the Reception area is well maintained at all times; liaise with Domestic and Estates departments as needed.

• Book results into clinic.

• Assist in covering the absences of other Reception staff as required across different areas of the Trust.

• Arrange photocopying as required.

• Deal with daily internal and external post.

• Any other duties relevant to the area of work.
