The role of Deputy Service Manager is essential, primarily working within the Total Facilities Management (TFM) contract. The role is part of the Estates Supplier Management & Assurance Team (ESMA) within the DWP Estates Directorate. You will lead a small team and oversee the detailed administration of our TFM contract across the entire DWP estate.

You will collaborate with the supplier, finance, legal, and operational colleagues. Your main focus will be ensuring meticulous contract administration, stakeholder engagement, and working across functions to resolve challenges efficiently.

Key accountabilities
  • Act as delegated Service Manager for the TFM Contract, proactively managing contractual Early Warning Notices and Compensation Events based on detailed contract knowledge
  • Manage regular meetings with the supplier to resolve contractual issues within NEC4 timeframes
  • Understand end-to-end contract management, considering risks, mitigation, and payment processes with estate specialists
  • Ensure compliance with NEC4 policies across all parties
  • Enhance supplier relationships by improving performance and processes
  • Support negotiations and supplier assessment activities for future sourcing
  • Provide leadership to the team, ensuring clarity of roles and a focus on service delivery
  • Promote a 'one team' culture and professional relationships with stakeholders
  • Lead strategic supplier review meetings and governance processes
  • Escalate issues appropriately and communicate effectively with stakeholders
  • Report and address performance deficiencies, driving continuous improvement
  • Support negotiations for value-for-money and savings initiatives
  • Support the Authority’s operating model and organizational plans
  • Contribute to the development of the Supply Chain Management team and identify training needs
