The role of Deputy Service Manager is crucial, primarily working within the Total Facilities Management (TFM) contract. The role is part of the Service Manager Function within the Estates Supplier Management & Assurance Team (ESMA) in the DWP Estates Directorate. You will lead a small team and play a vital role in contract administration across the entire DWP estate.

You will collaborate with suppliers, finance, legal, and operational colleagues. Your main focus will be ensuring meticulous contract administration, stakeholder engagement, and working with colleagues to resolve challenges effectively.

Key accountabilities

  • Act as delegated Service Manager for the TFM Contract, managing progress of contractual Early Warning Notices and Compensation Events based on detailed contract knowledge
  • Manage relationships between estates and suppliers, leading joint meetings to resolve issues within NEC4 contract timeframes
  • Oversee contract management discussions with suppliers, considering risks, mitigation, and payment processes with relevant experts
  • Ensure compliance with NEC4 contractual policies across all parties
  • Enhance supplier relationships through performance management and process improvements
  • Support negotiations and supplier assessment activities for future sourcing
  • Provide leadership to ensure team clarity, service delivery focus, and contribution to estate strategies
  • Promote a 'one team' culture across DWP Estates and supplier partners
  • Lead strategic supplier review meetings and governance processes
  • Escalate contractual issues appropriately and communicate effectively with stakeholders
  • Report on performance issues and implement improvement measures
  • Support Service Manager in negotiations for value for money and savings initiatives
  • Support the Authorities' operating model and organizational plans
  • Contribute to the strategic development of Supply Chain Management and ESMA leadership
