The Procurement Officer is responsible for executing and supporting the procurement lifecycle across the inbound supply chain. This includes sourcing, purchasing, expediting, and supplier management to ensure timely and cost-effective acquisition of goods and services. The role supports operational excellence, compliance, and continuous improvement in line with De Beers Group values and performance standards.
Key Responsibilities
Procurement Operations
- Execute day‑to‑day purchasing activities for components, materials, and consumables required for R&D, production, and service operations.
- Ensure timely order placement, order confirmation, and follow‑up with suppliers to meet delivery schedules.
- Maintain accurate procurement records in the ERP system (e.g., NAV, SAP, or other in‑house platforms).
- Support the development and implementation of optimised purchasing strategies.
Supplier Management
- Liaise with approved suppliers to resolve delivery, quality, or invoicing issues.
- Monitor supplier performance and escalates concerns to the Supply Chain Manager.
- Assist in maintaining a sustainable and flexible supply network.
Inventory and Logistics Coordination
- Collaborate with warehouse and logistics teams to ensure accurate goods receiving, storage, and issuing processes.
- Monitor inventory levels and flag potential shortages or overstock situations.
- Support outbound shipping processes and documentation for finished goods and spare parts.
Compliance and Governance
- Ensure procurement activities comply with internal control procedures and De Beers Group policies.
- Assist in the preparation and review of procurement documentation, including contracts and tenders, in collaboration with Group Legal and Finance.
Cross‑Functional Collaboration
- Work closely with production, engineering, and sales teams to align procurement with operational needs.
- Support after‑sales and spares teams to ensure timely fulfilment of customer orders and returns processing.
Continuous Improvement
- Contribute to the review and improvement of procurement processes and systems.
- Identify cost‑saving opportunities and support implementation without compromising quality or compliance.
Support Responsibilities in Absence of Other Team Members
Shipping and Logistics
- Experience in managing inbound and outbound shipping operations, ensuring compliance with international trade regulations. Skilled in coordinating with logistics forwarders and maintaining accurate records and supporting the IPR (Inward Processing Relief) and CDS (Customs Declaration Service) reporting in alignment with HMRC requirements.
Sales
- Provide cover and support for the Sales Support function.
Diamond Goods
- Provide cover and support for Diamond Goods.
- SuperUser of the AX system for Diamond Goods.
- Provide inbound and outbound shipping support for diamond goods.
- Ensure compliance with international diamond shipping regulations including KP Certs.
Qualifications
- A-Levels or equivalent secondary education.
- Alternatively, relevant qualification or vocational training in supply chain or logistics.
- (e.g., CIPS, APICS, or CSCP) are highly desirable.
Experience
- 1-2 years of experience in an administrative, procurement, or supply chain support role.
- Familiarity with basic purchasing processes and documentation.
- Basic proficiency in Microsoft Office (especially Excel and Outlook).
- Exposure to ERP or procurement systems (training can be provided).
- Good communication and organisational skills.
- Willingness to learn and develop within a structured procurement environment.
- Experience with shipping and logistics.
