Job description

Our client is seeking a Contracts Administrator to join their busy finance team. The role will support the Finance Manager and Financial Controller in preparing monthly management accounts and will also involve close collaboration with Operations and Sales. The Contracts Administrator will handle the creation, renewal, and maintenance of customer contracts, ensuring smooth communication and compliance between internal teams and external clients. This full-time role may also require assistance with other duties as the business grows and evolves.

Job Duties:

  • Create, renew, and maintain customer contracts
  • Calculate and process contract invoices
  • Liaise with the Sales team to ensure timely contract renewals
  • Negotiate contracts with Operations team and customers, ensuring compliance and good service
  • Maintain the customer licensing database
  • Manage and control contract documentation
  • Validate engineer timesheets for time-based contracts and prepare overtime claims for payroll
  • Assist in documenting system processes
  • Manage facilities, ensuring office and data hosting infrastructure maintenance
  • Collaborate with the Compliance Manager to ensure adherence to health and safety, ISO, and other relevant standards
  • Deliver contracts related to hardware, coordinating with Sales, internal IT, and third-party providers
  • Prepare management information, including analysis of time spent on contracts

Job Requirements:

  • Experience in contract administration
  • Advanced proficiency in Excel and other Microsoft applications, including Access
  • Experience with Navision accounting software (or similar ERP systems)
  • Background in the technology or service delivery industry
  • Proven ability to produce accurate information within tight deadlines
  • Experience in managing third-party contractors
