Job description

We are looking to appointment a highly motivated and organised person to provide comprehensive administrative supportto the practice. Ensuring the smooth running of operations, compliance withregulatory requirements, and effective communication across the team and withexternal stakeholders.

Working pattern; 22.5 hours per week (7.5 hrs three days per week).

Main duties of the job

The post holder will be responsible for leading and undertaking a wide range of compliance and operational tasks to ensure the practice achieves its key operational and regulatory requirements.

The role requires someone with exceptional organisational skills.

Principal Accountabilities:

SignificantEvent Lead: Log significant events, action as appropriate, and lead the annualanalysis session.

PremisesManagement: Attend BUG and water safety meetings, log and report premisesissues, and liaise with CHP, ICB, OCS, and Mitie as required.

PracticeBoundary Management: Maintain up-to-date NHS catchment hub information.

PatientSafety Events (LFPSE): Log patient safety events on the website and ensurelearning is shared.

ServiceIssues: Record patient safety or service issues on eHealthscope.

FluClinic Coordination: Organise annual flu clinics, clinic preparation, stock,and staff vaccinations.

MMFOverview: Monitor MMF completion and prioritisation, supporting MMF staff asrequired and ensure the practice maximises income.

PatientSurvey Management: Distribute patient surveys, collate results, and reportfindings to management.

SafetyAlerts: Process safety alerts according to practice protocols.

AdultSafeguarding Administration: Lead quarterly safeguarding meetings, prepareagendas, and take minutes.

PrivacyOffice (S1): Action privacy notifications appropriately and in line withpractice policy.

Policy& Protocol Administration: Maintain and review policies, draft newpolicies, obtain management approval, and upload to GPTeamNet.

DBSChecks: Manage DBS checks in accordance with organisational policy.

EARota Management: Update S1 PCN hub, manage rota and staff allocation.

NewStaff Induction: Prepare induction paperwork for new staff members.

DataSupport: Assist the Practice Manager with data requests from externalorgnisations.

HRMeeting Support: Take minutes for HR meetings.

PracticeMeetings: Arrange practice meetings as required

CQC Compliance: Participate in internal CQC compliancereviews with the Practice Manager.
