Job summary

We are Standard Life, a retirement specialist, recruiting for an administrative role within our Complaints Team in Telford. The role combines office-based work with hybrid flexibility after an initial training period, focusing on handling customer complaints and supporting case progression across internal and outsourced providers.

You will manage communications, logs and documentation, work with diverse stakeholders, and help ensure fair and efficient outcomes in line with regulatory duties.

Qualifications

  • Administrative or customer service experience within the financial services industry.
  • Experience working in a complaints environment, handling, recording and progressing customer complaints.
  • Experience handling customer inquiries by telephone and in writing, providing clear responses.
  • Demonstrable experience of managing multiple tasks and meeting deadlines.
  • Strong attention to detail and maintaining accurate records.
  • Good working knowledge of Microsoft 365 applications (Outlook, Word, Excel, Teams).
  • Experience collaborating across teams or with third parties to progress queries.

Responsibilities

  • Provide administrative support to the Complaints Team with professional, accurate service.
  • Manage complaint-related mailboxes, correspondence, records and customer communications.
  • Answer customer calls and routine inquiries, ensuring fair treatment.
  • Log, update and maintain complaint records and MI.
  • Support complaint handlers by gathering information and preparing documents.
  • Liaise with internal teams and third parties to progress cases.
  • Identify and refer potential complaints appropriately.
  • Follow established processes to meet standards and timescales.
  • Raise process issues or improvement opportunities with managers.

This role is based in our Telford office working 5 days a week from the office initially spent whilst training completes (up to 6 months) then 3 days in the office thereafter and 2 days working from home.

The role

Join our growing Complaints Team and play a key role in delivering exceptional customer outcomes. Key Responsibilities
  • Provide administrative support across the Complaints Team, ensuring a professional, accurate, and consistent service is delivered to customers and stakeholders.
  • Manage complaint-related mailboxes, correspondence, records, and customer communications.
  • Answer customer telephone calls and respond to routine enquiries, ensuring customers are treated fairly and respectfully.
  • Accurately log, update, and maintain complaint records and management information.
  • Support complaint handlers by gathering information, preparing documentation, and completing administrative tasks.
  • Liaise with internal teams and third parties to obtain information required to progress customer cases.
  • Support customers who express dissatisfaction, ensuring potential complaints are identified and referred appropriately.
  • Follow established processes and procedures, ensuring work is completed to agreed standards and timescales.
  • Identify process issues or opportunities for improvement and raise these with managers where appropriate.
  • Provide general administrative support to managers and the wider team as required.
What are we looking for?
  • Previous administration or customer service experience within the financial services industry, including managing customer information, correspondence or records.
  • Experience working within a complaints environment, supporting the handling, recording and progression of customer complaints in line with established processes and timescales.
  • Experience of handling customer enquiries by telephone and in writing, providing clear and accurate responses.
  • Demonstrable experience of managing multiple tasks, customer cases or competing priorities while meeting deadlines or service standards.
  • Experience of maintaining accurate customer or case records and updating relevant systems, with strong attention to detail.
  • Good working knowledge of Microsoft 365 applications, including Outlook, Word, Excel and Teams.
  • Experience of working across teams or with third parties to obtain information and progress customer queries or cases.
