Job summary

A community wellbeing organization is seeking a Community Based Counselling Service Administrator to provide professional administrative support for service delivery. The ideal candidate will have a minimum of 12 months’ experience in an administrative role, possess excellent organizational skills, and be proficient in Microsoft Office. This position is based in Derry or Londonderry and requires at least 5 GCSE passes including English and Mathematics. Closing date for applications is 21 Nov 2025.

Community Based Counselling Service Administrator

The Main purpose of the role is:provide professional administrative support to ensure the day to day service delivery across all the Community Based Counselling Services contracts.

Responsibilities
  • Provide confidential and professional administrative support to the Community Based Counselling Services.
  • Assist in the timely and accurate collation and completion of regular and ad-hoc statistical reports and preparation of information for audits, ensuring all deadlines are met.
  • Effective use of MS applications (One Drive, Excel, Word, PowerPoint etc.) to a high and professional standard, including but not limited to data collection and analysis.
  • Maintain a confidential and well-ordered system for the service in line with data protection requirements, and organise/facilitate appropriate disposal of confidential material in line with the organisation’s data retention schedules.
  • Management of service Outlook inboxes, responding to queries in a professional and timely manner, and directing incoming mail to appropriate individuals.
Skills and Qualifications
  • Ability to work flexibly to meet the needs of the business.
  • Minimum of 5 GCSE passes at grade C or above, or equivalent, to include English Language and Mathematics.
  • A minimum of 12 months experience in an administrative role.
  • Demonstrable experience of efficient organisational skills, attention to detail and preparation of detailed reports.
  • Demonstrable experience of using information management systems to maintain accurate records.
  • The ability to manage and prioritise workload to ensure effective and timely outcomes.
  • Confident in the use of Microsoft Office packages (Word, Excel, Outlook and PowerPoint).
