In this position, you'll be responsible for managing the daily operations of a portfolio of 8–10 homeowner and condominium associations, each with distinct requirements and governing guidelines. You'll act as the main point of contact for property owners, Boards of Directors, service vendors, and regulatory bodies, helping to maintain and enhance the communities you serve.

Responsibilities
- Prepare for and attend monthly, quarterly, annual, and special Board of Directors meetings for individual communities.
- Manage all third-party service contracts, including facilitating bid requests, negotiating terms, and ensuring vendor performance meets contractual obligations and client expectations.
- Serve as the primary liaison between contractors and the community association Board of Directors.
- Maintain current resale and transfer documentation on a third-party web-based platform.
- Assist with the preparation of annual budgets in accordance with the community association governing documents and distribute relevant financial and operational information to homeowners.
- Perform weekly general ledger coding, invoice review and approval, and ensure all services billed were pre-authorized and within budget.
- Handle all communication between the association, homeowners, tenants, board members, and related parties, with an emphasis on delivering excellent customer service.
- Oversee architectural compliance, including issuing and tracking inspection letters, reviewing improvement requests, and ensuring adherence to governing documents. Maintain accurate electronic records.
- Address community standards violations (e.g., landscaping issues, broken windows), and participate in hearings with residents and the board to resolve matters.
- Conduct routine site inspections of properties 2–4 times per month, covering both residential and common areas.
Additional Duties
- Responsible for budget management, financial oversight, vendor negotiations, architectural review, support with collections, and upholding community standards to maintain property values and resident satisfaction.
- Spend approximately 30–40% of the workweek onsite addressing maintenance issues, compliance checks, and vendor coordination.
- The remaining time is dedicated to administrative tasks, correspondence, and phone communications.
- Attend 6–8 evening board meetings per month (typically Monday–Thursday after 7:00 p.m.).
- Manage a combined portfolio with an annual budget of up to $3.5 million.
Qualifications
- Minimum of 2 years of experience in community association management.
- Solid understanding of HOA laws, regulations, and best practices.
- CMCA certification is a plus, but not required.
- Strong organizational and time management abilities.
- Excellent written and verbal communication skills, with a professional and approachable demeanor.
- Proficient in budgeting, financial analysis, and reporting.
