Responsibilities

• The Clinician Support Officer provides secretarial and administrative support to clinicians and is accountable to the Care Group Service Manager.
• The role provides a single point of contact for clinicians, triaging and coordinating requests and changes relating to patient clinics, sessions, and patient access.
• The Clinician Support Officer is responsible for handling all operational communications between clinicians and the Patient Services Hub (PSH).
• To liaise with clinicians and Care Group leadership about any capacity issues raised by Patient Services Hub.
• To track complex or high-risk investigation lists and elevate missing results.

• The Clinician Support Officer provides secretarial and administrative support to clinicians and is accountable to the Care Group Service Manager.
• The role provides a single point of contact for clinicians, triaging and coordinating requests and changes relating to patient clinics, sessions, and patient access.
• The Clinician Support Officer is responsible for handling all operational communications between clinicians and the Patient Service hub (PSH), ensuring that requests for clinic/session changes, booking rule queries, and operational actions are managed efficiently, accurately, and in line with Trust policy and national standards (Elective Access Policy, Referral To Treatment /Cancer Waiting Times, Standard Operating Procedures).
• Ensure all actions are logged, tracked, and communicated clearly, with timely feedback to clinicians and PSH teams.
• Support data quality, information governance, and digital system compliance. Support specialities to carry out specialised actions and processes that require dedicated clinical input.
• Promote a culture of excellent customer service, continuous improvement, and Trust values.

Main duties of the job

• To provide clinician diary management.
• To liaise with clinicians on any wet signatures required (e.g. blood forms or prescriptions).
• To receive blood and diagnostics test results and highlighting results to clinicians, utilising WebV for tracking rather than paper diaries and manual spreadsheets.
• To liaise with other Trusts.
• To liaise with clinicians and Care Group leadership about any capacity issues raised by Patient Services Hub.
• To prioritise and route clinician requests in a timely way to the appropriate Patient Services department following agreed SOPs.
• To provide timely acknowledgement and completion notifications to clinicians, keeping them updated and providing reassurance to clinicians that actions have been sent to the Patient Services Hub for actioning.
• To deal with urgent and routine correspondence and tasks in accordance with agreed processes and CQUIN standards.
• To urgently elevate to the Patient Services Hub to book appointments or procedures within urgent timeframes when the clinician indicates to you this is required, following agreed SOPs.
• To track complex or high-risk investigation lists (e.g. urology biopsies, paediatric EEGs, oncology tests) and elevate missing results.
• To assist in the production of research articles, lecture and teaching materials as necessary in order to support Consultant’s responsibilities and any non-clinical activities.

This will not constitute a formal merger of the two organisations, but will bring the Trusts together under a single Board and Executive Leadership Team, with the goal of improving the care that is provided to patients both in the community and in hospitals across Lincolnshire.
