Clinical Administrator / Call Handler

The newly developed Care Co‑ordination hub is looking to recruit multiple Clinical Administrator/Call Handlers to be based at Clarendon, Windmill Way, NE31 1AT. The successful candidates will be expected to rotate across the following shift patterns.

  • 08.00am – 04.00pm
  • 12.00pm – 08.00pm
  • 08.00pm – 08.00am

Please note as this service is newly developed shift patterns are actively being reviewed, therefore there may be changes to shift pattern times in the future.

The Care Co‑ordination hub is an admission prevention service. As a Clinical Administrator/Call Handler you will be the first point of contact for patients, carers and referrers calling the hub.

Key Tasks & Responsibilities
  • Take appropriate details to triage patients.
  • Order stock and process managed referrals, including scheduling of appointments and visits.
  • Provide first point of contact for patients, relatives and healthcare professionals for urgent and non‑urgent cases.
  • Gather information on patient condition using EMIS Web and direct them to the most appropriate service, advising on self‑management where applicable.
  • Work within an Integrated Community Team, collaborating with clinical and non‑clinical colleagues.
  • Use advanced listening and probing skills to give clear advice and signpost correctly.
  • Deal with anxious or upset patients/relatives experiencing traumatic events.
  • Accurately update and input patient details, appointments and information into EMIS.
  • Support the team with performance reporting and data management.
  • Collate data and produce relevant reports.
  • Provide administration and clerical support from telephone calls.
  • Process supplies orders.

Experience
  • At least 2 years experience working in a clerical post.
  • Experience of a full range of secretarial procedures including diary management and arranging meetings.
  • Experience of minute taking.
  • Experience of handling confidential information.
  • Ability to problem solve.
  • Ability to prioritise workload.
  • Experience of working in NHS or a healthcare environment.
  • Knowledge of local health services.
