Job Overview

Reporting to the lead administrator, you will be part of a team responsible for booking patient appointments, maintaining and using hospital systems (IPM, dashboard, ICE, PENS), monitoring waiting lists, entering data, liaising with health professionals, and dealing efficiently and professionally with all service users and patient enquiries. You will support the specialist nurse team with pre‑investigation and the e‑referral service, take the lead on referrals for outpatient and day‑case endoscopic procedures (diagnostic and therapeutic) and work unsupervised while providing advice to junior members of the team.

Key Responsibilities
  • Book and manage referrals for all outpatient and day‑case endoscopic procedures, ensuring a high‑quality service at all times.
  • Operate hospital systems (IPM, dashboard, ICE, PENS) for database entry, monitoring waiting lists and recording outcomes.
  • Coordinate with anti‑coagulant nurses, dieticians and other health professionals to schedule appointments.
  • Create and send appointment letters and patient information leaflets.
  • Record outcomes on IPM PAS and remove patients from the waiting list as required by the Trust access policy.
  • Observe and highlight waiting‑list breaches and times.
  • Assist junior staff, mentor new team members, and provide unsupervised support.
  • Provide cross‑site cover at the Broadgreen Diagnostic Hub when required.
Essential Qualifications
  • Ability to work unsupervised and assist junior staff with work‑related problems.
  • Strong prioritisation, workload planning and time‑management skills.
  • Excellent communication skills.
  • Comfortable dealing with the public with tact and discretion.
  • NVQ3 or equivalent.
  • Experience of direct contact with patients, carers, the general public and health professionals.
  • Knowledge of hospital administration systems such as IPM PAS, ICE, and CRIS Scheduling system.
  • Proficiency in computer software applications, particularly Excel and Access.
Desirable Qualifications
  • Training experience on the IPM PAS system.
  • Flexibility to rotate between three main booking areas.
  • Interest in service design and improvement.
  • Background knowledge of gastroenterology and hepatology tests and procedures.
  • Team‑player attitude.
