Job Summary

As a clerical administrator you are responsible for welcoming patients to the department, updating patient details on the system, registering new patients and adding their referrals and relevant documentation onto the Trust patient administration system (CareFlow) and booking follow‑up appointments. The team supports outpatient activity through the provision of a high‑quality, patient/customer focused service.

Clerical Administrators ensure that clinic outcomes are actioned effectively, in line with standard operating procedures and policies, and that patient referrals are added to CareFlow within 24 hours.

The Outpatients reception operates Monday to Friday 8:00 am – 6:00 pm. The successful candidate will work on rota to guarantee the reception desk is manned during these operational hours. This is a busy and varied role requiring excellent administration and communication skills, enthusiasm, a willingness to learn, and the initiative to contribute to a friendly team.

Main Duties
  • Welcoming patients, ensuring all patients are checked in and out, and booking future appointments.
  • Registering outpatient referrals and supporting the administrative process of outpatient referrals.
  • Maintaining patient confidentiality at all times and ensuring new referrals are registered within 24 hours of receipt, scanned onto the Patient Administration System (CareFlow) and CWP.
  • Liaising with GPs, other health professionals and referring Trusts regarding outstanding patient reports in accordance with Minimum Data Set requirements.
  • Resolving issues such as cancellation of appointments and missing patient notes.
  • Using patient information systems to assist patients and staff, coding treatment appointments and first definitive treatments, and assessing patient demographic details for eligibility.
  • Planning for patient admissions, appointments and discharge, and adapting clinic structure for unexpected patients.
  • Undertaking general administrative duties: collating correspondence, filing paperwork, managing annual leave, updating patient information systems and using office equipment.
  • Providing comprehensive advice to patients/relatives regarding appointments, signposting patients to other hospital areas and following all relevant policy and legislation.
  • Supporting new post holders through induction and demonstrating workplace routines to less experienced staff.
  • Supporting the Manager as the point of reference for queries, attending regular staff meetings and undertaking surveys/audits as required.
  • Planning and organising own time and workload, prioritising tasks and liaising with team members, and using initiative to solve problems.

Essential Qualifications
  • NVQ level 3, equivalent qualification or experience.

  • Diploma or equivalent experience.
  • ECDL or equivalent.
